Job Summary

We are seeking an energetic and detail\-oriented Receptionist/Administrative Assistant to join our small, but dynamic team. In this vital role, you will serve as the first point of contact for visitors and callers to our school, ensuring a positive and professional experience. You will manage front desk operations, handle a variety of administrative tasks, and support office management functions. Your proactive attitude and excellent organizational skills will help keep our school running smoothly while providing exceptional customer service to the school community.

Our team sees to the day to day operations of River Montessori Charter School, a public school in Petaluma.

Responsibilities

  • Greet visitors warmly, direct them appropriately, and manage check\-in procedures with professionalism and courtesy
  • Operate multi\-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette
  • Manage front desk activities including scheduling appointments, maintaining visitor/volunteer logs, and handling incoming correspondence
  • Perform data entry tasks accurately using Microsoft Office applications and Google Workspace tools
  • Maintain organized filing systems, both electronic and paper\-based, ensuring easy retrieval of documents
  • Support office management by coordinating calendar appointments, scheduling meetings, and managing travel arrangements when needed
  • Understand and promote the school’s vision, mission, and goals to students, parents, and community
  • Requirements

  • Proven office experience with strong clerical skills in a fast\-paced environment
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong typing skills and attention to detail for proofreading documents and data entry
  • Experience with multi\-line phone systems and phone etiquette standards
  • Bilingual abilities such as Spanish are highly desirable to serve diverse needs effectively
  • Previous experience as a receptionist or administrative assistant in school or district settings is a plus
  • Knowledge of office management procedures including filing, calendar management, and customer support practices
  • Demonstrated ability to handle confidential information discreetly and professionally
  • Strong communication skills with a friendly demeanor that fosters positive interactions with the school community and colleagues
  • Knowledge of SchoolWise (or similar programs) a plus
