Job Summary
We are seeking a highly organized and proactive Administrative Assistant to support daily office operations, project coordination, and executive needs. The ideal candidate thrives in a fast\-paced environment, communicates effectively, and manages multiple priorities with accuracy and professionalism.
Key Responsibilities
- Manage calendars, schedule meetings, and coordinate appointments using Outlook and Google Workspace
- Handle multi\-line phone systems with professionalism and strong customer service
- Maintain organized digital and physical filing systems, including data entry and recordkeeping
- Support basic bookkeeping tasks in QuickBooks, including invoicing
- Assist with project coordination by tracking deadlines, preparing reports, and proofreading documents
- Provide executive support as needed, including travel arrangements and confidential tasks
- Send completed tax return packages to clients, including signature pages and final invoices
- Upon receiving signed documents and payment, e\-file tax returns in a timely and accurate manner
- Coordinate workflow with an administrative team of 8 (4 local, 4 virtual)
- Work closely with 28 accounting and tax professionals to ensure smooth operations
- Help monitor workload distribution, productivity, and task completion
- Assist in improving processes, systems, and overall efficiency across departments
- 1–3 years of administrative experience, preferably in a CPA or professional services firm
- Proficiency in Microsoft Office, Google Workspace, and data entry systems
- Familiarity with QuickBooks and DocuSign
- Strong organizational, multitasking, and communication skills
- Ability to manage multiple priorities under pressure with attention to detail
- Experience with Karbon or similar practice management software is a plus
- Strong problem\-solving skills and a proactive mindset
- Ability to coordinate across teams, including remote staff
- Experience in a CPA firm or professional services environment
- Familiarity with tax workflows, bookkeeping, and CRM systems
- Experience with workflow or practice management tools (Karbon preferred)
