About the Role

This remote position is the backbone of our daily operations. You'll be the first point of contact for customer inquiries, the air traffic controller for our sales reps' schedules, and the behind\-the\-scenes pro making sure invoices, payroll, and paperwork all land where they should. If you thrive on organization, love a good checklist, and can bring warmth to every phone call and email, we want to meet you.

What You'll Be Doing

Customer Communication \& Scheduling

  • Responding to inbound calls, texts, emails, and web inquiries in a professional and friendly manner
  • Scheduling estimates and consultations based on rep availability, customer location, and company goals
  • Building, managing, and updating daily schedules for sales reps to ensure efficient routing and minimal downtime
  • Sending friendly (but firm) reminders to customers about upcoming appointments and installations
  • Routing incoming calls to the right department or team member
  • Helping reps sort out last\-minute changes, scheduling conflicts, or discrepancies
  • Office Administration

  • Whipping up invoices like a pro and keeping payments flowing in
  • Handling payroll duties with care—making sure everyone clocks in and out like clockwork
  • Processing contracts and dotting every 'i' and crossing every 't'
  • Maintaining accurate customer records, appointment notes, and follow\-ups in our CRM and company databases
  • Providing general administrative and clerical support to the marketing and sales teams
  • Team Coordination

  • Acting as the communication bridge between customers, marketing, and sales
  • Keeping everyone in the loop so nothing falls through the cracks
