Responsibilities

  • Greet visitors, clients, and vendors professionally at the front desk, ensuring a positive first impression.
  • Manage multi\-line phone systems, answer inquiries, direct calls appropriately, and take detailed messages.
  • Maintain organized filing systems, including digital documents using Quickbooks and Microsoft Office tools.
  • Perform data entry tasks accurately using computer literacy skills, including QuickBooks for basic bookkeeping and financial record keeping.
  • Assist with calendar management and scheduling appointments for staff or executives with strong time management skills.
  • Support office management duties such as ordering supplies, maintaining inventory, and coordinating maintenance requests.
  • Provide customer service support by addressing inquiries via phone or email with excellent phone etiquette and professionalism.
  • Skills

  • Must know Certified Payroll.
  • Proven experience with office management, clerical tasks, and administrative support in a professional setting.
  • Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry software.
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a busy environment.
  • Bilingual abilities are highly valued to assist diverse clients and team members effectively.
  • Experience with multi\-line phone systems, front desk operations, and customer support roles such as medical or dental receptionist is advantageous.
  • Knowledge of bookkeeping software like QuickBooks and basic accounting principles for handling invoices or petty cash is preferred.
  • Exceptional typing speed combined with proofreading skills to ensure accuracy in all documents.
