We are seeking a highly organized, motivated, and creative professional to fill a unique hybrid position that blends light bookkeeping, administrative operations, and interior design support. The ideal candidate is detail\-oriented, proactive, and comfortable shifting between financial management and creative project coordination in a fast\-paced environment.
Interior design industry experience is strongly preferred.
Position Overview
This hybrid role supports both the financial operations and design execution of the firm. You will manage bookkeeping responsibilities while assisting with client billing, furniture pricing, vendor coordination, sourcing, project tracking, and design presentations.
We are willing to train the right candidate with strong bookkeeping skills who is eager to grow within the interior design industry.
Key Responsibilities
Light Bookkeeping \& Financial Management
\- Maintain accurate financial records using QuickBooks data entry to accounts
\- Manage Accounts Payable (AP) and Accounts Receivable (AR)
\- Process payroll and prepare journal entries
\- Perform bank reconciliations and general ledger reviews
\- Reconcile balance sheet accounts
\- Prepare financial reports, budgeting support, and account analysis
\- File monthly sales tax with the Florida Department of Revenue
\- Prepare annual 1099s and request/verify W\-9 documentation
\- Pay monthly vendor bills and manage online vendor payment portals
\- Track and report monthly sales tax
\- File damage claims and maintain order tracking documentation
Support Ordering, Billing \& Client Management
\- Prepare client quotes and invoices for furniture, accessories, and design services
\- Create and manage purchase orders (POs) from quote through delivery
\- Monitor weekly order statuses including backorders, lead times, and shipping updates
\- Communicate with vendors to confirm stock, pricing, freight policies, and claims
\- Ensure all vendor and contractor POs are accurate and up to date
\- Maintain accurate client budgets and update financial tracking systems
\- Attend contractual client meetings when required
Interior Design \& Operational Support
\- Assist design team from project planning through installation
\- Price furniture and accessories based on vendor pricing, trade programs, and margins
\- Create digital catalog boards, proposals, and design presentations
\- Update floor plans, budgets, and design documentation
\- Maintain detailed meeting notes and project status updates
\- Coordinate deliveries, installation dates, and warehouse logistics
\- Attend installation days and assist onsite as needed
\- Source materials, furnishings, and fabrics
\- Maintain studio samples and order memo samples
\- Tag and price showroom merchandise accurately
\- Assist with marketing efforts, networking events, and social media (a plus)
\- Travel out of state on short notice if required (travel expenses covered)
Qualifications
Required:
\- 2–4 years admin bookkeeping experience
\- Associate degree (minimum)
\- Proficiency in QuickBooks
\- Strong Apple computer skills
\- Excellent organizational and multitasking abilities
\- Strong written and verbal communication skills
\- Reliable transportation
\- Ability to work in person in Naples, FL
\- Ability to work occasional evenings, weekends, and alternating Saturdays (with weekday off)
Preferred: and helpful
\- 1–3 years of interior design experience or degree in Interior Design
\- Knowledge of Design Managerial Software, Design Files, iCloud, and PowerPoint (training provided)
\- Understanding of construction terms and scheduling
\- Experience creating mood boards, CAD drawings, or sketches
\- Knowledge of furniture periods, architectural styles, and color theory
\- Marketing and networking skills
Work Schedule
\- Monday–Friday: 9:00 AM – 5:00 PM or 10:00 AM – 6:00 PM 8 hours
\- Alternating Saturdays based on team size
\- Occasional early mornings, evenings, or weekends based on project deadlines
