We are seeking a dynamic and highly organized Executive Assistant to join our team and support our leadership with efficiency and professionalism. Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate appointments for executives and team members
  • Handle incoming calls using multi\-line phone systems with professionalism and courtesy, practicing excellent phone etiquette
  • Prepare, proofread, and organize correspondence, reports, and presentations with attention to detail
  • Assist with office management duties including filing, data entry, and maintaining organized records using Google Workspace and Microsoft Office tools
  • Support customer service efforts by addressing inquiries promptly and professionally, providing exceptional customer support and support documentation
  • Perform clerical tasks such as photocopying, faxing, scanning documents, and managing office supplies inventory
  • Facilitate communication between departments by managing email correspondence and ensuring timely follow\-up on action items
  • Coordinate travel arrangements, calendar management, and personal assistant duties as needed to optimize executive productivity
  • Requirements

  • Proven experience as an executive assistant or in a similar administrative role with office management responsibilities
  • Strong computer literacy including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs), and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment
  • Bilingual abilities are highly desirable to support diverse communication needs
  • Experience with QuickBooks or bookkeeping is a plus for handling financial documentation
  • Demonstrated ability to manage multi\-line phone systems with professionalism and maintain excellent phone etiquette
  • Strong typing skills along with proofreading capabilities to ensure accuracy in all documents
  • Previous experience in customer service or as a medical/dental receptionist is advantageous
  • Ability to handle confidential information discreetly while demonstrating strong time management skills
