Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
  • Operate multi\-line phone systems efficiently, handling inquiries and routing calls promptly.
  • Maintain organized filing systems, both physical and digital, including data entry and document proofreading.
  • Support office management tasks such as scheduling appointments, calendar management, and coordinating meetings.
  • Assist with bookkeeping duties using QuickBooks or similar accounting software to track expenses and invoices.
  • Provide customer service support by responding to inquiries via phone, email, or in person with a friendly, professional attitude.
  • Perform general clerical tasks including typing correspondence, organizing files, and supporting team members with administrative needs.
  • Requirements

  • Proven office experience with strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Excellent computer literacy with the ability to learn new software quickly.
  • Bilingual abilities are highly desirable for effective communication with diverse clients and staff.
  • Previous experience in clerical roles such as medical or dental receptionist is a plus.
  • Strong time management skills with the ability to prioritize tasks effectively.
  • Knowledge of office management procedures including filing systems, data entry, and proofreading.
  • Exceptional customer service skills combined with professional phone etiquette and courteous demeanor.
  • Personal assistant or medical receptionist experience is advantageous for handling sensitive information discreetly.
