The Seventh Judicial District is accepting applications to fill one full\-time Court Operations Associate position. The primary work location is in Mille Lacs County Court Administration in Milaca, MN. Work is conducted primarily onsite with the potential for occasional remote work, depending on business needs. Typical hours for this position are 8:00 a.m. \- 4:30 p.m., Monday\-Friday, with some flexibility based on business needs. Initial days off: Saturday, Sunday, and Court Designated Holidays.

This Court Operations Associate position is a fast\-paced, highly detail\-oriented position with a variety of responsibilities such as performing advanced clerical work, providing customer service, and ensuring compliance with applicable court rules, policies, and standards to achieve an impartial, accessible, fair, and timely system of justice. As a Court Operations Associate, you will work directly with the public, judges, and other court employees by processing all case types. Duties require the application of independent judgment, and the interpretation of established laws, policies, procedures, and regulations based on training and knowledge gained through experience on the job.

The expected starting salary for external candidates will be $22\.28\.

Examples of Duties

  • Perform the full range of court operations work that involves responsibility and processing for a variety of court case\-types.
  • Receive and file court documents accurately and efficiently.
  • Sort and receipt incoming mail and bail payments.
  • Thoroughly review legal documents for completeness, document security, accuracy, and adherence to relevant rules.
  • Determine proper routing of complaints, petitions, and other filings and promptly notify parties.
  • Manage receipting functions for case initiations, certified copies, and fine payments.
  • Provide comprehensive assistance to attorneys, parties, judges, justice partner agencies, and the public by effectively responding to inquiries in person, via phone, mail, and/or electronically.
  • Generate various court documents such as notices, correspondences, court calendars, and orders, ensuring accuracy and completeness.
  • Perform essential jury processing responsibilities.
  • Accurately review, enter, record, and update detailed case information within the electronic case processing system and related applications.
  • Handle telephone and counter duties professionally, answering and responding to incoming calls and inquiries regarding court procedures.
  • Perform courtroom clerical duties including preparing case files and forms, checking in individuals and calling the calendar, administering oaths to witnesses, taking court minutes and/or operating electronic recording equipment, setting future court dates, updating case information, and preparing judge's orders.
  • May participate in and coordinate the scheduling and calendaring of hearings and other court matters, disseminate necessary notices, communicate with attorneys and parties regarding rescheduling, and make accurate record entries.
  • Prepare and process various financial duties such as month\-end, daily deposits, and review of other financial reports.

  • High School Diploma or Equivalent
  • One (1\) year of relevant job experience or greater, which may include but is not limited to customer service, administrative or office work. Additional education may substitute for experience.

  • Proficiency in using electronic applications, including Microsoft Office Suite and Adobe Acrobat, with the ability to quickly learn job\-related software.
  • Demonstrated experience providing exceptional customer service under pressure in a high\-volume, fast\-paced environment.
  • Strong ability to multitask and effectively prioritize duties while maintaining flexibility and adapting to change.
  • Excellent verbal and written communication skills, including the ability to handle sensitive and confidential information with discretion.
  • Ability to read, comprehend, and explain complex rules, statutes, legal documents, policies, and procedures.
  • Proven ability to establish and maintain respectful and effective working relationships with diverse individuals.
  • Ability to work effectively in an inclusive, multicultural environment and demonstrate cultural sensitivity.
  • Ability to initiate new tasks with minimal supervision while maintaining a high degree of accuracy and attention to detail.
  • Sound independent judgment and decision\-making abilities.
  • Excellent customer service and interpersonal skills, including the ability to de\-escalate difficult interactions.

    Preferred Qualifications

  • Associate or bachelor's degree in a related field.
  • Experience working in the legal field or court setting.
  • Extensive knowledge of current court policies, procedures, processes and terminology.

Knowledge and experience with Minnesota Court Information Systems (MNCIS) and eFile and eServe (EFS).

SUCCESSFUL CANDIDATE WILL BE REQUIRED TO PASS A CRIMINAL BACKGROUND CHECK.

Current judicial branch employees must have satisfactory performance in all competencies in their most recent performance evaluation and no discipline above an oral reprimand in the preceding 6 months.

Work is performed primarily in an office\-setting, courtroom or at a public counter.
