Responsibilities

  • Provide comprehensive executive administrative support, including managing calendars, scheduling appointments, and coordinating meetings using tools like Microsoft Outlook Calendar and Google Workspace.
  • Handle phone etiquette professionally while managing multi\-line phone systems and screening calls for the CPA.
  • Assist with event planning for client seminars, team meetings, and professional development sessions.
  • Perform data entry, bookkeeping, and maintain accurate records using QuickBooks and other accounting software.
  • Support project coordination efforts by preparing reports, proofreading documents, transcribing audio recordings, and ensuring timely completion of tasks.
  • Manage office operations including filing, document management via DocuSign, front desk duties, and general clerical responsibilities such as photocopying, faxing, and organizing files.
  • Facilitate communication between clients and team members through excellent customer service skills while maintaining professionalism in all interactions.
  • Assist with internal and external hiring needs, including job postings, resume review, and candidate communication
  • Experience

  • Prior experience as an executive assistant or personal assistant supporting senior professionals in an office environment is required.
  • Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
  • Strong organizational skills with the ability to multitask efficiently in a fast\-paced setting.
  • Experience with bookkeeping software such as QuickBooks is highly desirable.
  • Excellent typing speed combined with proofreading and transcription skills to produce accurate documents swiftly.
  • Familiarity with office management procedures including filing systems, front desk operations, multi\-line phone systems, and calendar management.
  • Previous customer service experience that highlights professionalism and effective communication skills.
