Responsibilities

  • Manage front desk duties, including greeting visitors, answering multi\-line phone systems, and directing calls with professional phone etiquette
  • Handle calendar management and scheduling for team meetings, appointments, and events using tools like Google Workspace and Microsoft Office
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization across all administrative records
  • Assist with office management tasks such as supply inventory, mail distribution, and maintaining cleanliness of common areas
  • Support customer service efforts by providing timely assistance to clients and visitors, ensuring positive interactions and support
  • Coordinate bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking
  • Provide personal assistant support when needed, including travel arrangements, appointment reminders, and task prioritization
  • Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent computer literacy with the ability to quickly adapt to new software tools
  • Experience with proofreading is highly desirable
  • Strong customer service skills combined with professional phone etiquette and a friendly demeanor
  • Knowledge of office management practices such as calendar management, time management techniques, and basic bookkeeping (QuickBooks experience preferred)
