SUMMARY OF RESPONSIBILITIES
The Bilingual Administrative Assistant I provides essential administrative support to staff and serves as the primary receptionist. This role includes offering excellent customer service, answering questions, and assisting students, parents, and community members. Key responsibilities include managing office records, processing documents, maintaining office supplies, and supporting various school operations through clerical tasks and special projects. As the Administrative Assistant I also ensure the smooth and efficient operation of the office by coordinating communications and assisting with school\-related procedures.
DUTIES AND RESPONSIBILITIES
- Greet staff, students, and the public visiting the office or department.
- Answer and direct phone calls, taking messages and providing information as needed.
- Serve as the first point of contact for visitors, offering assistance or directing them to the appropriate staff member.
- Prepare and distribute correspondence, notices, bulletins, and other written communications.
- Maintain and organize department calendars, appointment schedules, and mailing lists.
- Assist with copying, laminating, binding, and preparing materials for staff.
- Manage incoming and outgoing mail, ensuring proper distribution.
- Maintain inventory and reorder office supplies as necessary.
- Assist with student enrollment processes and updated records.
- Help coordinate substitute coverage for staff as needed.
- Collect and process fees, fines, or tuition payments, and manage checkbook(s).
- Support the entry of new student data and assist with processing student records.
- Enter and maintain student attendance, field trips, testing data, etc.
- Provide clerical assistance to other school staff and departments as necessary.
- Perform other duties as assigned by the principal to support the efficient operation of the office.
- Office Procedures \& Practices: Understanding of general office procedures, practices, and protocols for managing administrative tasks.
- Customer Service: Strong customer service skills, with the ability to interact professionally and courteously with students, staff, and the public.
- Communication: Excellent verbal and written communication skills in English and Spanish for interacting with various stakeholders and preparing documents and correspondence.
- Record\-Keeping \& Data Entry: Knowledge of basic record\-keeping practices, data entry, and maintenance of filing systems (both physical and digital).
- Technology Proficiency: Basic to intermediate skills in using office software (e.g., word processing, spreadsheets, and email programs) and office equipment (copiers, fax machines, and printers).
- Time Management \& Organization: Ability to handle multiple tasks efficiently, prioritize responsibilities, and maintain organized office spaces and systems.
- Mathematical Skills: Basic math skills for processing payments, managing cash flow, and balancing checkbooks.
- Problem\-Solving \& Adaptability: Ability to resolve issues or inquiries promptly, and adapt to changing priorities or office needs.
- Confidentiality \& Discretion: Understanding of confidentiality protocols for handling sensitive student, staff, and district information.

- High school diploma or GED.
- Minimum of six months to one year of previous clerical, administrative, or office support experience, preferably in an educational setting.
- Experience with office equipment (e.g., copiers, fax machines, phones) and office software (e.g., word processing, spreadsheets, email).
- Familiarity with district\-specific software or record\-keeping systems.
- Previous experience in customer service or public\-facing roles, particularly in a school or educational environment.
- Ability to handle confidential information with discretion and professionalism.
- Ability to work effectively in a team\-oriented environment and handle multiple tasks simultaneously.
