Job Title: Part\-Time Legal Assistant — Immigration \& Business Law Firm
Location: Remote (Must be available during U.S. Central Time business hours)

Hours: 15–20 hours per week, Monday through Friday, during U.S. business hours (flexible scheduling)

We are an immigration and business law practice based in Tulsa, Oklahoma. Our clients are immigrants, refugees, and their families navigating complex legal situations during some of the most difficult moments of their lives. We are looking for a legal assistant who takes that responsibility seriously and brings professionalism, warmth, and reliability to everything they do.
About the Role
This is a part\-time legal assistant position supporting the day\-to\-day administrative operations of the firm. You will wear many hats. On any given day you may be answering calls from potential clients, preparing a mailing to a government agency, entering data into case management systems, or organizing a client file for an upcoming hearing. The work is varied, fast\-paced, and meaningful.
This is not a contract or freelance position. You will be a part\-time employee of the firm.
Responsibilities
General Administration — Answer incoming phone calls and return missed calls promptly — Respond to client emails, text messages, and WhatsApp inquiries — Prepare and send physical mailings, including correspondence to courts, government agencies, and clients — Perform data entry and maintain accurate records across firm systems — Organize and maintain client files in Google Drive — Assist with general office administrative tasks as assigned
Intake \& Scheduling — Serve as the first point of contact for potential clients contacting the firm — Collect intake information and log every client interaction in the firm's communication log — Explain the consultation process and send booking and payment links — Schedule consultations using Google Calendar and send appointment reminders — Prepare short intake summaries for the attorney before scheduled consultations — Follow up with potential clients who have not yet booked or signed a retainer — Send retainer agreements and payment instructions when directed by the attorney
Interpretation \& Translation (If Applicable) — Interpret during attorney\-client consultations in your designated language(s) — Translate short client communications between your language(s) and English
Additional Support — Assist occasionally with creating simple ad content for the firm's social media and digital marketing efforts — Handle other administrative tasks and special projects as directed by the attorney
What You Will NOT Do
You will not be expected to give legal advice, evaluate cases, draft legal documents, or make any statement that could be interpreted as the firm agreeing to represent someone. Clear training on these boundaries is provided during onboarding.
Qualifications
Required: — Strong written and verbal communication skills in English — Professional and patient phone manner, especially with callers who may be stressed, scared, or unfamiliar with the legal system — Highly organized and detail\-oriented — Comfortable with Google Workspace (Gmail, Google Calendar, Google Drive), phone apps, and messaging platforms — Reliable and punctual — you show up ready to work during every scheduled block — Able to follow detailed procedures, scripts, and firm protocols consistently — Able to maintain strict confidentiality regarding all client and firm information — Access to a reliable computer, phone, and internet connection
Preferred: — Fluency or professional working proficiency in Spanish or Arabic (please indicate your level of fluency on your resume) — Experience working in a law firm, medical office, government agency, or other professional environment that handles sensitive client information — Experience with client intake, phone\-based customer service, or administrative support — Familiarity with immigration law concepts or legal terminology
