We are seeking a highly organized, proactive Executive \& Personal Assistant to serve as the right hand to the CEO of a fast\-paced immigration law firm. This role is designed to support both the CEO’s professional and personal life by maintaining order, protecting time, and ensuring that important tasks and deadlines are consistently executed.
The ideal candidate is detail\-oriented, reliable, and takes pride in keeping things running smoothly. You will be responsible for managing the CEO’s calendar, tracking deadlines and follow\-ups, coordinating appointments and logistics, running errands (including regular PO box visits), and helping maintain an organized physical and digital environment.
This is a hybrid role that requires both administrative precision and hands\-on support. You should be comfortable shifting between managing schedules, sending reminders, organizing spaces, and handling day\-to\-day logistics such as driving to appointments when needed.
Success in this role means the CEO is never overbooked, nothing falls through the cracks, and both work and home environments run efficiently. This position is ideal for someone who enjoys bringing structure to chaos, follows through without being asked twice, and takes ownership of getting things done.
Compensation:
$22 \- $24 hourly
Responsibilities:Calendar \& Deadline Management
- Own and manage the CEO’s calendar, including scheduling, rescheduling, and confirming appointments.
- Track and maintain all professional and personal deadlines, ensuring nothing is missed (e.g., meetings, filings, sending documents to the bookkeeper, etc).
- Proactively remind the CEO of upcoming commitments and follow up until tasks are completed.
- Ensure the CEO’s schedule is realistic, organized, and not overbooked.
- Maintain a running list of the CEO’s tasks, priorities, and pending items.
- Follow up consistently on open items to ensure completion—do not rely on one\-time reminders.
- Assist in coordinating simple follow\-ups with team members, vendors, or service providers as directed.
- Help ensure day\-to\-day responsibilities and commitments are executed on time.
- Schedule and confirm appointments (medical, personal, business, etc).
- Book travel arrangements, including flights, hotels, and transportation.
- Coordinate vendors and service providers (e.g., cleaners, repairs, deliveries).
- Run errands as needed, including document drop\-offs, supply pickups, and other time\-saving tasks.
- Drive the CEO to appointments, including airport transportation, when needed.
- Visit the PO box at least twice per week to pick up and organize office mail.
- Handle occasional in\-person tasks that require reliability and timeliness.
- Maintain organization of the CEO’s physical spaces, including office areas, drawers, and bookcases.
- Ensure frequently used items, documents, and materials are easy to locate and well\-organized.
- Assist with basic email organization and flagging of important items when needed.
- Help organize notes, reminders, and information for easy reference.
- Support simple administrative tasks that reduce the CEO’s workload and mental clutter.
- Coordinate with the Household Manager to ensure smooth day\-to\-day operations at home.
- Assist with scheduling household\-related services and appointments as needed.
- Help manage family logistics (e.g., babysitters, appointments, scheduling support).
- The CEO’s calendar is organized, realistic, and consistently followed.
- Deadlines and tasks are tracked and completed without last\-minute stress.
- The CEO does not have to repeat instructions or follow up on basic items.
- The work and home environments are organized and running smoothly.
- Nothing falls through the cracks.
- 2 to 5\+ years of experience as an Executive Assistant, Personal Assistant, or Administrative Assistant.
- Experience supporting a busy professional with both work and personal responsibilities.
- Proven track record of managing calendars, scheduling, and handling logistics independently.
- Experience running errands, coordinating vendors, or handling in\-person tasks.
- Exceptional organizational skills and the ability to create order and structure.
- Strong follow\-through with the ability to track tasks until completion.
- Effective time management and the ability to maintain realistic schedules.
- Close attention to detail, especially with deadlines and recurring tasks.
- Strong sense of reliability and accountability.
- Proactive mindset with the ability to anticipate needs.
- Clear and consistent communication skills.
- Must be based in the Sugar Land area or willing to commute locally.
- Valid driver’s license and clean driving record.
- Comfortable driving the CEO to appointments, including airport trips
- Reliable transportation.
- Ability to visit the PO box and run errands multiple times per week.
- Comfortable working in a hybrid environment with both in\-person and remote tasks.
- Comfortable using Google Calendar or similar scheduling tools.
- Proficient with email platforms such as Gmail or Outlook.
- Familiarity with basic task tracking tools or willingness to learn quickly.
- Ability to learn new systems and follow established workflows.
- Naturally organized and structured.
