FRONT OFFICE SECRETARY/RECEPTIONIST Supervisor: Principal FLSA Status: Non\-ExemptDepartment: Secretarial/ClericalTerms of Employment: 187 days; 8 hours/dayLicense Status: Non\-licensed/No ContractSupervises: NoneNature of WorkTo support the efficient operation of the schools front office by providing high\-quality customer service, managing front office procedures, and ensuring accurate recordkeeping and communication. Duties and ResponsibilitiesServe as the primary point of contact for student, parents, staff, and visitors.Greet and direct individuals in a professional and courteous manner.Manage front office workflow, ensuring an organized, efficient, and welcoming environment.Answer and direct incoming phone calls, providing accurate information and assistance.Provide general assistance to students, staff, and parents, addressing daily needs and inquiries.Manage student/guest/substitute sign\-in/sign\-out procedures and maintain accurate logs.Track and document daily attendance.Coordinate substitute teacher processes, including managing daily sign\-in and sign\-out procedures, tracking and documenting substitute coverage, and supporting teacher requests and communication related to substitute assignments.Coordinate attendance corrections with guidance staff.Coordinate and monitor student pass system.Provide basic care and supervision for ill or injured students in the absence of the school nurse.Contact parents, the nurse or emergency services as necessary.Assist with implementation of school safety procedures.Perform office routines and procedures, including records management and data entry.Prepare, compile, reproduce, and distribute documents, correspondence, and reports as requested.Assist administrative staff with parent conferences and school operations as needed.Support textbook management and other clerical functions.Manage incoming and outgoing mail, deliveries, and school mailbox distribution.Assist with school\-wide communications, including mailing parent notifications and report cards.Maintain office supplies in compliance with procurement policies and procedures. Supervise and assist in training student office assistants or volunteers.Contribute to harmonious working relationships with other employees and the public while projecting a position image of the district.Work well under pressure of deadlines at all times maintaining composure and professionalism by communicating with a variety of people, demonstrating excellent telephone and communication skills.Complete mandatory annual Vector Training.Exhibit professionalism by maintaining good attendance and adhering to established work schedule.Comply with the Code of Ethics, administrative directives, board policy, state and federal statutes and rules and regulations. Communicate and display courteous and professional behavior toward students, the public, the Immediate Supervisor, School and District Administrators, staff and peers.Safeguard the confidentiality of information pursuant to the Family Educational Rights and Privacy Act (FERPA) and other applicable state and federal statutes.Perform such other tasks as may be assigned.Minimum Qualifications1\.High school diploma or equivalent required2\.Proficiency in Microsoft Office and student information/database systems3\.Strong verbal, written, and organizational skills4\.Valid New Mexico Drivers License5\.Ability to pass a criminal background checkEnvironmental and Physical Factors: Work is performed in a standard office environment with light physical demands.
