Total Body Submersion (TBS) is a premium swim instruction company operating across Mississippi (Jackson, Byram, Pearl, Crystal Springs, Columbus) and Alabama (Tuscaloosa), serving approximately 1,500 swimmers annually. Our sister nonprofit, Dominion Life Skills Foundation (DLS), drives water safety, drowning prevention, and workforce development for underserved and neurodiverse communities.

ROLE OVERVIEW

The Sales Executive Assistant is the operational right hand for both TBS and DLS. This role sits at the intersection of sales, client relations, scheduling, and risk mitigation. You will handle prospect follow\-up, manage scheduling pipelines, protect revenue from client ghosting and price resistance, and support the founder in high\-priority communications and business development tasks. You are not just supporting sales — you are executing it.

CORE RESPONSIBILITIES

Sales \& Lead Conversion

  • Follow up on all inbound inquiries via phone, email, and DM within 24 hours• Convert leads into registered clients using approved messaging and pricing — no deviations• Handle travel lesson inquiries professionally; communicate tiered pricing and scheduled dates without negotiation• Track leads through the pipeline and report conversion status weekly• Re\-engage cold or ghosted leads using approved outreach cadences
  • Scheduling \& Client Management

  • Manage lesson scheduling across TBS Mississippi and Alabama locations• Coordinate travel lesson calendar — fixed dates, no last\-minute exceptions• Handle client rescheduling, cancellation policies, and waitlist management• Maintain accurate client records and session logs
  • Client Retention \& Risk Mitigation

  • Monitor at\-risk accounts and proactively reach out before clients disengage• Flag price objections or policy violations to the founder immediately• Follow up on outstanding balances and unpaid invoices with professionalism• Document all client interactions for accountability and continuity
  • Administrative \& Communications Support

  • Draft and send client\-facing communications using approved templates and brand voice• Support DLS sponsor and donor outreach under the founder's direction• Assist with grant\-related scheduling, meeting coordination, and follow\-up logistics• Maintain organized digital filing for contracts, receipts, and correspondence
  • QUALIFICATIONS

    Required

  • 1\+ years of sales, customer service, or client relations experience• Excellent written and verbal communication — professional, warm, and direct• Strong organizational skills with ability to manage multiple tasks without micromanagement• Comfortable with CRM tools, scheduling software, and Google Workspace or similar• Reliable internet access and device for remote work• Ability to work independently and execute under pressure
  • Preferred

  • Experience in service\-based business, youth programming, or nonprofit environments• Familiarity with social media platforms (Facebook, Instagram, TikTok) for community engagement• Experience managing multi\-location or multi\-client service schedules• Bilingual a plus

COMPENSATION \& STRUCTURE

Pay Type: Hourly or per\-task (discussed at offer)

Hours: 10–20 hours per week, flexible schedule

Location: Remote with occasional MS/AL coordination

Growth: Strong performers considered for expanded responsibilities and compensation

Pay: $14\.00 \- $16\.00 per hour
