Executive Operations Admin (Founder’s Right Hand)

The Opportunity
This is not a traditional admin role.
Edifi Coaching \& Consulting partners with small businesses to help them grow, scale, and operate at a higher level. Today, that includes a medical spa, a tower services contractor, an escape room, income\-producing real estate, and additional portfolio companies.
As we continue to expand, the Founder is at capacity.
We are looking for a high\-agency operator who can step in as an Executive Operations Admin—someone who brings order, leverage, and follow\-through across multiple businesses, and becomes a true force multiplier to the Founder.

What This Role Actually Is
You will function as the operational extension of the Founder.
Your job is not to “help with tasks.” Your job is to increase output, reduce friction, and ensure execution happens consistently across multiple priorities.
At a high level, you will:
- Turn ideas and conversations into organized execution
- Manage and prioritize open loops, projects, and commitments
- Bring structure to communication, workflows, and systems
- Own follow\-through so nothing important falls through the cracks
- Create leverage by helping the Founder stay focused on highest\-value work
- The Founder’s inbox is organized, triaged, and actionable
- Calendar is intentionally time\-blocked around priorities
- Open loops are tracked, visible, and consistently driven to completion
- A clear project and workflow system is in place and actively used
- Multiple businesses are operating with more structure, clarity, and momentum
- The Founder is spending more time in high\-leverage work, not chasing details
- High level of trust and autonomy
- Direct exposure to multiple businesses and industries
- Opportunity to grow into Operations Manager or Chief of Staff–type role

- 3\+ years in operations, executive support, or similar roles
- Strong organizational and communication skills
- Ability to manage multiple priorities and follow through consistently
- Comfort with technology and learning new tools quickly
- Experience with QuickBooks Online (or similar)
- Experience supporting multiple businesses or departments
- Familiarity with automation tools (Zapier, forms, integrations)
- Early adoption mindset toward AI tools (ChatGPT, Claude, etc.)

- Do you have 5\+ years of experience in an administrative, operations, or executive support role?
- Have you directly supported a business owner, executive, or senior leader in a prior role?
- Have you been responsible for managing a calendar, inbox, and task list for another person in a professional setting?
- Have you used any of the following in a work environment: QuickBooks Online, project management software (Asana, ClickUp, etc.), or workflow/automation tools (Zapier, JotForm, etc) ?
What Success Looks Like (First 3–6 Months)
Core Responsibilities
* Inbox \& Communication Management: Draft, organize, and respond where appropriate; ensure clarity and follow\-through
* Calendar \& Priority Management: Align time with strategic priorities; protect focus time
* Project \& Task Management: Build and maintain systems to track initiatives across multiple companies
* Operational Support Across Portfolio: Assist with invoicing, tracking, coordination, and administrative systems
* Basic Financial Oversight: Support bookkeeping, reporting, and organization (QuickBooks experience is a plus)
* Systems \& Automation: Build and improve workflows using tools like Google Workspace, Zapier, forms, and AI
* Documentation \& SOP Creation: Capture processes and help build scalable systems
* Problem Solving: Identify inefficiencies and proactively implement better solutions
