Responsibilities
- Manage front desk operations, greeting visitors and directing inquiries professionally and promptly
- Answer multi\-line phone systems with excellent phone etiquette, transferring calls or taking messages as needed
- Maintain accurate data entry records using Microsoft Office and Google Workspace tools
- Support bookkeeping activities using QuickBooks for invoicing, expense tracking, and financial record keeping
- Assist with calendar management and scheduling appointments for sales staff and management
- Organize files, documents, and correspondence through efficient filing systems to ensure quick retrieval
- Provide exceptional customer support by responding to inquiries via phone or email and resolving issues promptly
- Conduct clerical tasks such as proofreading documents, preparing reports, and managing office supplies
- Coordinate office management duties including overseeing office supplies inventory and maintaining a professional front desk environment
- Support personal assistant responsibilities such as calendar management and travel arrangements for sales executives
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is highly preferred
- Excellent computer literacy including data entry, typing speed, and familiarity with multi\-line phone systems
- Bilingual abilities are a plus to support diverse customer needs
- Strong phone etiquette and customer service skills to handle inquiries professionally
- Previous clerical or administrative experience in an office setting is desirable
- Ability to manage time effectively while handling multiple priorities simultaneously
