The administrative assistant supports the operational backbone of the business, working in close partnership with the two highest directors of the company to ensure a seamless flow across administrative, accounting, and receiving areas. Responsibilities include assisting with basic bookkeeping and QuickBooks Online tasks, supporting inventory intake and order entry, and serving as a liaison between accounting and receiving—while providing administrative and problem\-solving support across day\-to\-day operations.

Responsibilities

  • Assist with administrative operations across the business, including basic bookkeeping, receiving, and general admin tasks as assigned by the store and operations directors.
  • Serve as a liaison between accounting and receiving, ensuring clear communication and smooth workflow between both functions.
  • Assist with light bookkeeping tasks, including data entry and preparing materials for the bookkeeper to finalize and reconcile. Utilize QuickBooks Online for these bookkeeping tasks.
  • Support inventory intake and receiving, including entering orders and periodically assisting with ticketing and processing merchandise.
  • Provide general administrative support to the two highest directors of the company, including reporting, file management, and problem\-solving across day\-to\-day operational needs.
  • Qualifications

  • Proven experience in an operations, administrative, or bookkeeping role, ideally within a retail or small business environment
  • Working knowledge of QuickBooks Online or comparable accounting software
  • Familiarity with retail POS systems such as Lightspeed (or similar platforms), with the ability to learn and adapt quickly
  • Strong organizational skills with a high level of accuracy and attention to detail
  • A systems\-oriented mindset, with the ability to manage multiple workflows and priorities simultaneously
  • Clear, professional communication style and a high level of discretion
  • Must be based locally with the ability to commute to Falmouth, MA; this is an in\-person role with no remote option
  • Pay: $25\.00 \- $35\.00 per hour

    Expected hours: 35\.0 – 40\.0 per week
