- Handle incoming calls using multi\-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills.
- Perform data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all communications.
- Support office operations by overseeing front desk duties, including greeting visitors, managing mail distribution, and maintaining a tidy reception area.
- Utilize computer skills across Microsoft Office Suite and Google Workspace to prepare reports, presentations, and correspondence efficiently.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping.
- Provide personal assistance to executives as needed, including travel arrangements, calendar management, and task prioritization.
- Proven experience in office management or administrative roles with strong clerical skills.
- Bilingual abilities are highly desirable to facilitate communication with diverse clients and team members.
- Demonstrated proficiency in computer literacy, including Microsoft Office applications (Word, Excel, PowerPoint), Google Workspace tools, data entry, and typing skills.
- Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment.
- Prior experience as a receptionist or medical/dental receptionist is a plus; familiarity with front desk operations is essential.
- Strong customer service orientation combined with professional phone etiquette and support skills.
- Knowledge of office equipment such as multi\-line phones, fax machines, printers, and filing systems.
- Ability to handle confidential information discreetly while maintaining high levels of accuracy through proofreading and data management.
