Our small non\-medical home care office seeks to add a positive, energetic team member to support our office administration. We are a small team, but we work hard, and offer competitive pay, flexible schedules, work from home one day per week, 401(K) matching, and more. The Office Assistant's primary responsibility is coordinate Caregivers onto established cases, handle scheduling needs, and contribute to hiring and orienting new Caregivers.

Essential Duties and Responsibilities:

  • Answers and directs calls, office visits, and emails.
  • Fills cases with existing, qualified Caregivers by using empathy, data, and factors of compatibility to make the
  • best possible long\-term placement of Griswold Caregivers.

  • Places caregivers as needed for fill\-in’s and other needs, making sure all shifts are filled appropriately without mistakes.
  • Ensures caregivers and clients know the schedule, caregivers assigned, any changes to schedules or care plans, and follows through and supports any communication with clients and caregivers.
  • Contacts caregivers by phone or email, at least monthly.
  • Works closely with other staff members to create a complete, successful, satisfying, and on\-going life cycle of exceptional services to our clients and Caregivers.
  • Manages phone screening and schedules in\-person interviewing of new caregiver candidates.
  • Checks references and conducts background checks for prospective Caregivers
  • Manages, tracks, and collects certifications, licenses, and online training of employees.
  • Knows and acts in accordance with the applicable state laws governing the type of care that a Caregiver can lawfully provide based on the Caregiver’s licensure or certification.
  • Utilizes Outlook for email and calendar appointment/event scheduling.
  • Utilizes WellSky Scheduling, Analytics and Reporting for complete and accurate care coordination, Caregiver scheduling, analyze trends, data reporting, notes, and follow\-up.
  • Collaborates and communicates staffing needs with other staff members.
  • Works to ensure 100% of shifts are filled.
  • Maintains non\-billable overtime at or below established weekly benchmark for office as set by Director.
  • Manages weekend and after\-hour calls (“on\-call”) at least once per month (as a full\-time salaried employee)
  • Participates in the development and execution of special projects relating to operations.
  • Assists with business development efforts, including taking calls, researching, setting appointments, and other tasks related to onboarding clients and following up with referral sources.
  • Ensure proper service delivered to all prospects, including taking initial prospect calls, scheduling initial home assessments, answering questions, and following up with leads
  • Must be able to see and interpret information within our systems (like WellSky, FranConnect, or Email) and be able to exchange information accurately and quickly with others, as well as record information in these same systems.
  • If the candidate has a Certified Nursing Assistant license, be willing to fill in for last minute or emergency shifts.
  • Educational Background/Knowledge/Prior Experience:

  • Caregiving background, experience working with older adults.
  • Human services background or strong desire to help others '
  • BA/BS related field is a plus
  • Necessary Attributes and Qualifications:

  • Organized and detail\-oriented with strong verbal and written skills.
  • Proficient in Microsoft Office and computers
  • Comfortable with phone and email communication.
  • High emotional intelligence, empathy, and dedication to our company's purpose.
  • Creative problem solver, flexible, and able to prioritize tasks effectively.
  • Strong time management skills
  • Team player with a positive attitude.
  • Proactive, takes initiative, follows through, and can work independently using discretion and judgment.
  • Must handle on\-call duties on a rotating basis as needed.
  • Reliable transportation, valid driver’s license, and car insurance required.

Schedule is flexible (typically 4 hours daily, Monday through Friday). Part\-time candidates who wish to build to full\-time are welcome. Salary is negotiable.
