Overview
We are seeking a dynamic and detail\-oriented Executive Assistant / Paralegal to join our legal team. This vital role combines high\-level administrative support with comprehensive legal assistance, ensuring the smooth operation of our law office. The ideal candidate will possess a strong foundation in legal research, document management, and paralegal duties, while demonstrating exceptional organizational skills and proactive problem\-solving abilities. Responsibilities
- Provide executive administrative support to attorneys and senior staff, managing calendars, scheduling meetings, and coordinating travel arrangements.
- Conduct thorough legal research using LexisNexis, Westlaw, and other legal research tools to support case preparation and strategy development.
- Assist with legal case management by organizing files, maintaining document management systems such as iManage and PCLaw, and ensuring accurate data entry.
- Draft, review, and proofread legal documents including contracts, pleadings, correspondence, and reports with precision.
- Perform document review and manage legal filings in compliance with court procedures across various practice areas such as family law, securities law, tribal law \& regulations, patent law, workers' compensation law, personal injury law, landlord\-tenant law, and immigration law.
- Support litigation efforts through document review, discovery process coordination, transcription services, and case file organization.
- Conduct interviews with clients and witnesses as needed for case development while maintaining confidentiality and professionalism.
- Manage incoming calls with excellent phone etiquette; prioritize requests efficiently while providing exceptional client service.
- Assist in project management tasks related to ongoing legal matters or firm initiatives to ensure deadlines are met promptly.
- Proven paralegal experience or legal administrative experience within a law office setting.
- Familiarity with a broad range of practice areas including estate planning, environmental law, litigation, UCC law (Uniform Commercial Code), land use regulations, tribal law \& regulations, patent law, securities law, workers' compensation law, family law, landlord\-tenant law, immigration law, personal injury law.
- Proficiency in legal research tools such as LexisNexis and Westlaw; experience with document management systems like iManage is highly desirable.
- Strong organizational skills with the ability to manage multiple priorities efficiently in a fast\-paced environment.
- Excellent writing skills for drafting legal documents; keen proofreading abilities to ensure accuracy.
- Experience with project management tools and data entry; familiarity with PCLaw or similar legal billing software is a plus.
