We are seeking a dynamic and highly organized Office Manager to lead our administrative operations and ensure the smooth functioning of our office environment. As an Office Manager, you will play a key role in maintaining efficient office workflows, supporting team members, and enhancing overall office productivity.

Duties

  • Manage daily office operations, including overseeing front desk activities and multi\-line phone systems to ensure prompt and professional communication.
  • Coordinate calendar management, schedule appointments, meetings, and events with precision using tools like Google Workspace and Microsoft Office.
  • Maintain accurate filing systems, data entry records, and perform proofreading to ensure document accuracy and confidentiality.
  • Provide exceptional customer support by addressing inquiries via phone or email with courteous phone etiquette and professionalism.
  • Oversee clerical tasks such as photocopying, faxing, mailing, and inventory management of office supplies.
  • Support bookkeeping activities using QuickBooks or similar software for basic financial record\-keeping.
  • Assist with personal assistant duties including travel arrangements, calendar updates, and task prioritization for executives or team members.
  • Ensure the office environment is organized, clean, and welcoming for staff and visitors alike.
  • Handle sensitive information with discretion while supporting administrative functions such as filing, data entry, and record keeping.
  • Experience

  • Proven experience in office management or administrative roles with a strong background in clerical support and customer service.
  • Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills.
  • Experience operating multi\-line phone systems and managing front desk responsibilities effectively.
  • Bilingual abilities are highly desirable to assist diverse client needs and enhance communication within the team.
  • Previous experience in medical or dental reception is a plus but not required; strong organizational skills are essential regardless of industry.
  • Familiarity with bookkeeping software such as QuickBooks or similar programs for basic financial tasks is preferred.
  • Excellent time management skills with the ability to prioritize multiple tasks efficiently while maintaining attention to detail.
  • Strong interpersonal skills with a focus on professionalism, phone etiquette, proofreading accuracy, and customer support excellence.
