California Wildfire Recovery Program Project \& Operations AssistantPosition Summary
The Project \& Operations Assistant provides essential administrative, operational, and field\-based support to ROWW’s California Wildfire Recovery Project. This role supports program execution, client services, volunteer coordination, inventory and warehouse operations, data tracking, logistics, and outreach efforts. The position also assists with communications, marketing support, and donor/brand engagement. This role requires flexibility, strong attention to detail, and the ability to perform both office\-based and physical tasks in a fast\-paced environment.
* Status: Part\-Time (Approx. 25\-30 hours/week)
* Location: ROWW CA Office/Warehouse, Glendale, CA
* Reports to: ROWW CA Operations Manager
Essential Duties and Responsibilities
Duties can include, but are not limited to:
Administrative \& Program Support
- Manage client appointment scheduling and calendars.
- Prepare, manage, and maintain intake forms, waivers, surveys, and donation documentation.
- Maintain accurate client records and collect feedback.
- Draft meeting notes, summaries, and internal reports.
- Handle professional correspondence and general office functions.
- Attend community meetings and/or events as a project representative when assigned.
- Maintain program data across multiple platforms including Google Workspace tools, internal databases, and Calendly.
- Track service delivery metrics and program outputs.
- Generate internal and external reports, including funder\-required reporting.
- Support surveys, data collection, and intake systems.
- Track incoming and outgoing inventory.
- Organize, label, and maintain supplies, equipment, furniture, and donated goods.
- Conduct inventory audits and maintain inventory logs.
- Support warehouse organization, shipment receiving, and distribution preparation.
- Maintain safe and orderly storage spaces.
- Assist with volunteer scheduling, communication, and on\-site coordination.
- Support volunteer orientations and supervision.
- Assist with packing, loading, unloading, setup, and breakdown of distributions and events.
- Perform physical labor related to program operations as required.
- Support community outreach efforts, including responding to inquiries and coordinating follow\-ups.
- Assist with drafting, formatting, and distributing newsletters and program updates.
- Support email marketing efforts using platforms such as Brevo or similar email systems (experience with email marketing platforms is a plus).
- Assist with outreach to partner organizations, donors, and brands to request and coordinate in\-kind donations and support.
- Track and organize outreach communications and donor/brand engagement.
- Help maintain consistent, accurate program messaging aligned with ROWW’s mission and goals.
- Work is performed in a variety of settings including a standard office, a warehouse environment, and outdoor field locations.
- Requires a flexible schedule with occasional evening or weekend hours to support daily operations and community events.

Qualifications \& Requirements
* Education: High School Diploma or equivalent required; Associate’s or Bachelor’s degree in related field preferred.
* Experience: 1\-3 years of experience in operations, project coordination, or non\-profit administration.
* Communication: Exceptional written and verbal communication skills; ability to interact professionally with donors and community members.
* Software \& Tech: Proficiency in Google Workplace (Docs, Sheets, Drive) is required. Experience with marketing tools is a significant plus.
* Organizational Skills: Exceptional organizational and time\-management skills, with the ability to prioritize multi faceted tasks in a fast paced changing environment.
* Authorization: Must be legally authorized to work in the United States.
Physical \& Transportation Requirements
* Physical: Ability to lift and carry up to 35 lbs repeatedly. Ability to stand, walk, and bend for extended periods during warehouse or field operations. Ability to perform these essential functions with or without reasonable accommodation.
* Transportation: Use of personal vehicle for work\-related activities within a 60\-mile radius is required.
Note: Mileage is reimbursed at the current California standard rate and is paid in addition to the monthly salary.*
* License: Valid California driver’s license and proof of insurance required.

Pay: $2,900\.00 \- $3,000\.00 per month
Work Location: Hybrid remote in Glendale, CA 91204
