We are a boutique floral design studio specializing in weddings and events, currently seeking a Part\-Time Administrative Assistant / Client Coordinator to support daily operations, client communications, and event coordination.
This role is approximately 20 hours per week. Monday and Tuesday are required, with the option to work Wednesday or Thursday. Typical hours are 9:00 AM – 3:00 PM.
Our studio is home\-based, so we are looking for someone who is organized, self\-motivated, detail\-oriented, and comfortable working in a small, creative environment.
Key Responsibilities
- Provide administrative support and customer service to clients and vendors via email and phone
- Manage calendar scheduling, consultations, and appointments
- Prepare proposals, contracts, and event documentation
- Maintain client records, CRM/database management, and data entry
- Organize and manage digital files, folders, and project documents
- Assist with photo libraries, inspiration boards, and content organization
- Create invoices, track payments, and update client accounts
- Order office and studio supplies and support daily operations
- Assist with event coordination logistics across multiple active projects
- 1\+ year of experience in administrative assistant, office assistant, or coordinator role
- Strong organizational, multitasking, and time management skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Excellent written and verbal communication skills
- Experience with data entry, scheduling, and client management systems (CRM) preferred
- Comfortable learning new software and systems
- Familiarity with social media platforms (Instagram, Pinterest, Facebook)
- Ability to manage multiple projects in a fast\-paced, deadline\-driven environment
- Experience in weddings, events, floral design, hospitality, or creative industries
- Background in event planning, client services, or project coordination
- This is a part\-time position with the potential for long\-term employment.
