Job Overview

We are seeking a dynamic and highly organized Executive Assistant to join our team and provide exceptional administrative support to senior leadership. This role is vital in ensuring smooth daily operations, managing complex schedules, coordinating projects, and handling a variety of clerical tasks with professionalism and efficiency. Responsibilities

  • Manage and maintain detailed calendars using Google Workspace, scheduling meetings, appointments, and events with precision.
  • Provide comprehensive administrative support including data entry, filing, proofreading, transcription, and document management
  • Coordinate internal and external meetings, including preparing agendas, booking venues or virtual platforms, and distributing materials.
  • Handle incoming calls with professional phone etiquette, screen inquiries, and direct communications efficiently across multi\-line phone systems.
  • Assist with event planning for company and personal functions or client engagements, overseeing logistics from start to finish.
  • Support bookkeeping activities, including invoicing, expense tracking, and basic financial record keeping.
  • Facilitate project coordination by tracking deadlines, preparing reports, and ensuring timely completion of tasks across departments.
  • Oversee office management duties such as supply procurement, filing systems, front desk responsibilities, and maintaining a welcoming environment.
  • Perform personal assistant duties as needed to support executive priorities and personal scheduling.
  • Skills

  • Proven experience in executive administrative support or office management roles with strong organizational skills.
  • Proficiency in Microsoft Office (Word, Excel PowerPoint), Google Workspace applications, and familiarity with Microsoft Outlook Calendar.
  • Skilled in event planning, project coordination, data entry, bookkeeping (QuickBooks), and clerical tasks such as proofreading and transcription.
  • Excellent phone etiquette with experience managing multi\-line phone systems and providing top\-tier customer service.
  • Strong computer literacy with the ability to adapt quickly to new software tools like DocuSign and office management platforms.
  • Exceptional organizational skills with keen attention to detail; capable of managing multiple priorities simultaneously.
  • Experience in office experience roles such as front desk or receptionist is highly desirable.
