Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi\-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
  • Handle data entry tasks accurately using Microsoft Office, Google Workspace, and other office software
  • Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents
  • Support calendar management by scheduling appointments, meetings, and reminders for staff members
  • Assist with bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
  • Provide exceptional customer service by addressing client needs promptly and courteously
  • Perform clerical tasks such as proofreading documents, preparing reports, and managing correspondence
  • Support office management duties including supply inventory control and general administrative support
  • Contribute to a positive office environment through effective organization and communication
  • Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Strong organizational skills with the ability to prioritize tasks efficiently
  • Excellent typing speed and accuracy for data entry and document preparation
  • Experience with front desk operations and multi\-line phone systems
  • Bilingual abilities are a plus to serve diverse clients effectively
  • Knowledge of office management procedures and clerical best practices
  • Customer service expertise with a professional demeanor and excellent phone etiquette
  • Familiarity with medical or dental receptionist duties is advantageous but not required
  • Personal assistant experience or background in administrative support is preferred
  • Ability to manage calendars effectively using scheduling tools and maintain high levels of time management
