Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi\-line phone systems, handle incoming calls, and provide exceptional customer service with courteous phone etiquette
  • Maintain organized filing systems, including digital records using Google Workspace and Microsoft Office applications
  • Perform data entry, prepare reports, proofread documents for accuracy, and support project documentation efforts
  • Assist with calendar management, scheduling meetings, appointments, and coordinating project timelines
  • Handle general office management duties such as ordering supplies, managing correspondence, and supporting bookkeeping tasks using QuickBooks or similar software
  • Provide customer support by addressing inquiries promptly and professionally while maintaining a positive company image
  • Skills

  • Proven experience in office management or administrative roles within a construction or related industry
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Bilingual abilities are highly desirable to serve diverse clients and team members effectively
  • Experience with clerical tasks such as filing, proofreading, and document management
  • Knowledge of office equipment including multi\-line phone systems and front desk procedures
  • Exceptional time management skills to handle multiple responsibilities efficiently while maintaining attention to detail
  • Customer service expertise with strong interpersonal skills and professional phone etiquette
  • Quickbooks experience is a plus.
