Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth
- Operate multi\-line phone systems, handle incoming calls, and provide exceptional customer service with courteous phone etiquette
- Maintain organized filing systems, including digital records using Google Workspace and Microsoft Office applications
- Perform data entry, prepare reports, proofread documents for accuracy, and support project documentation efforts
- Assist with calendar management, scheduling meetings, appointments, and coordinating project timelines
- Handle general office management duties such as ordering supplies, managing correspondence, and supporting bookkeeping tasks using QuickBooks or similar software
- Provide customer support by addressing inquiries promptly and professionally while maintaining a positive company image
- Proven experience in office management or administrative roles within a construction or related industry
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
- Bilingual abilities are highly desirable to serve diverse clients and team members effectively
- Experience with clerical tasks such as filing, proofreading, and document management
- Knowledge of office equipment including multi\-line phone systems and front desk procedures
- Exceptional time management skills to handle multiple responsibilities efficiently while maintaining attention to detail
- Customer service expertise with strong interpersonal skills and professional phone etiquette
- Quickbooks experience is a plus.
