Overview
We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive support to senior leadership and ensure the smooth operation of daily office functions. Duties
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
- Provide executive administrative support by preparing reports, presentations, and correspondence with accuracy and attention to detail.
- Coordinate project activities, track deadlines, and assist in the execution of various initiatives to ensure timely completion.
- Handle phone etiquette professionally across multi\-line phone systems, screening calls and directing inquiries appropriately.
- Organize and maintain filing systems—both digital and physical—ensuring easy retrieval of documents and records.
- Assist with event planning for meetings, conferences, or company functions, including logistics coordination and vendor communication.
- Perform data entry, bookkeeping tasks using QuickBooks or similar software, and manage invoices or expense reports efficiently.
- Support office management duties such as ordering supplies, managing office equipment, and overseeing front desk operations.
- Proofread documents for accuracy, transcribe audio recordings as needed, and ensure all communications are clear and professional.
- Utilize office tools like Microsoft Office Suite (Word, Excel, PowerPoint) to produce high\-quality documents and presentations.
- Proven experience as an executive assistant or in a similar administrative role with at least several years of office management or clerical experience.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
- Excellent typing speed combined with proficiency in data entry, transcription, proofreading, and document formatting.
- Demonstrated expertise in calendar management using Microsoft Outlook Calendar and Google Workspace tools.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) along with familiarity with Office management software such as QuickBooks and DocuSign.
- Exceptional communication skills with professional phone etiquette across multi\-line phone systems.
- Ability to handle confidential information discreetly while maintaining a high level of professionalism.
- Experience supporting project coordination efforts and event planning is highly desirable.
- Knowledge of bookkeeping practices including invoicing, expense tracking, and basic bookkeeping software is a plus.
- Strong computer literacy skills combined with excellent organizational abilities to streamline office operations effectively.
