NATURE OF WORK
The Office Administrator is responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency. This collaborating with administrative staff, overseeing office supplies and equipment, providing support to Administration and Finance executives, and handling specific program submissions and office management tasks.
WORK HOURS
This is a contractual position. Work hours are not guaranteed and are based on the needs of the department and expected business levels.
EXAMPLES OF WORK
The duties listed below are illustrations of various types of work that may be performed. Incumbents in the position are expected to perform all of the duties described below.
1\. Administrative Duties:
- Oversee daily office operations and procedures.
- Manage office supplies inventory and place orders as needed.
- Coordinate maintenance of office equipment.
- Handle incoming and outgoing mail and invoices.
- Schedule meetings and appointments for executives and staff as needed.
- Manage electronic file organization and maintenance.
- Create simple documents, reports, and spreadsheets using Microsoft Word and Excel.
- Manage office supply and common area budgets and expenses.
- Initiate processing of invoices.
- Review, verify, and submit invoices to the Program Administrator for approval for payment for specific programs (e.g., RedWing purchases).
- Create and manage forms for programs (e.g., footwear, tuition, travel) to track employee submissions.
- Manage the footwear protection program by ordering footwear online per employee requests.
- Track tuition and professional development training program requests and other programs as determined.
- Process travel requests and monitor the form's efficiency.
- Create a supply management process to support teleworkers stopping by the office to pick up commonly requested items.
- Be present in the office 3 full days per week to manage office duties and collaborate with administrative staff to ensure full week’s coverage.
- Ensure mail distribution and common area management (e.g., filling copiers, checking supplies in workstations such as pens, markers, and staples).
- Demonstrated attention to detail with a high degree of accuracy in interpreting, entering, and verifying data
- Strong interpersonal and communication skills, with the ability to effectively interact with individuals at all levels of the organization
- Experience coordinating projects and managing multiple priorities in a fast\-paced environment
- Intermediate to advanced proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint
- Proficiency in administrative writing, reporting, and tracking processes
- Strong organizational skills and the ability to manage time effectively while meeting deadlines
- Working knowledge of Google Workspace, including Gmail and Google Calendar
- Experience operating standard office equipment and administrative systems
- Ability to quickly learn and apply knowledge of the agency’s mission, programs, organizational structure, and procedures
- Understanding of organizational operations, including reporting structures, staffing patterns, and workflow processes
- Ability to establish and maintain effective working relationships with internal and external stakeholders, both virtually and in person
- Ability to communicate information clearly and concisely, both verbally and in writing
- Demonstrated ability to maintain confidentiality and exercise sound judgment when handling sensitive information
- Ability to work independently and collaboratively in both remote and in\-office environments
- Education: High School diploma or GED required
- Experience: 3\+ years of administrative experience including executive support. Proficiency in Microsoft Office Suite and internal tracking tools.
- Must successfully pass background screening, including criminal record checks (local, state and federal)
- Proven experience as an office manager, administrative assistant, or in a similar administrative role.
- Proficiency in office software (e.g., MS Office, Google Workspace).
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize tasks effectively.
- Leadership and team management skills.
- Knowledge of basic accounting and financial principles is a plus.

+ Employees in the Office Administrator role are required to report onsite three days per week. One of the required days must be Monday or Friday; the remaining two days may be selected by the employee.

Minimum Qualifications –
+ Five (5\) years of related administrative or paraprofessional experience may be substituted for the required education

LICENSES, REGISTRATIONS AND CERTIFICATIONS
Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.
