We are seeking a dedicated and organized Mail Clerk to join our dynamic office team. In this vital role, you will be responsible for managing all incoming and outgoing mail, ensuring timely and accurate delivery within the organization. Your proactive approach will help streamline communication, support office operations, and maintain a professional environment. Responsibilities
- Sort, process, and distribute incoming mail and packages promptly to appropriate departments or individuals
- Prepare outgoing mail, including postage, packaging, and courier arrangements as needed
- Maintain accurate records of all mail transactions and shipments for tracking purposes
- Operate multi\-line phone systems to handle internal and external inquiries professionally
- Assist with front desk duties such as greeting visitors, managing visitor logs, and answering general questions
- Support office management tasks including filing, data entry, photocopying, and proofreading documents
- Utilize computer skills with Microsoft Office, Google Workspace, and other office software to support administrative functions
- Manage calendar appointments and coordinate delivery schedules to ensure timely correspondence flow
- Provide excellent customer service by addressing inquiries courteously and efficiently
- Maintain a clean and organized workspace to promote a professional environment
- Previous office or clerical experience demonstrating strong organizational skills and attention to detail
- Familiarity with office management software such as Microsoft Office Suite (Word, Excel) and Google Workspace (Gmail, Drive)
- Experience handling multi\-line phone systems with professional phone etiquette
- Bilingual abilities are highly desirable to support diverse client needs
- Proven ability in data entry, filing systems, proofreading, and document management
- Customer service experience in a reception or administrative role is preferred
- Knowledge of bookkeeping or basic financial record keeping is a plus
- Strong time management skills with the ability to prioritize tasks effectively
- Office experience involving medical or dental receptionist duties or personal assistant responsibilities is advantageous
