Job Summary:
The Medical Office Assistant will assist the Medical Office Coordinator. They will be responsible for completing daily office clerical tasks, administrative work, reception duties, data entry, scheduling, organizing forms and files, maintaining department social media platforms, reports, and assisting with patient\-related activities.
This position will need to function with respect to the special needs of confidentiality in correspondence with the Family Education Rights and Privacy Act (FERPA) and the Health Insurance Portability and Accountability Act of 1996 (HIPAA). The incumbent will be in compliance with University and department policies, rules, and regulations.Job Description:
General Department Office Operations
- Perform a wide variety of office support tasks, but not limited to, incoming call support, information gathering, clinical support, and general office tasks.
- Facilitates the operation of the department’s electronic health system (EHR), including scheduling appointments, coordinating meetings (in\-person and/or virtual), triaging patient walk\-ins, and scheduling appointments.
- Checks in patients, assembles and prepares patient intake form, and assists patients’ completion of necessary paperwork such as consent or other related forms for treatment.
- Provides support for departmental operations for the physical environment of the office suite. Operates office equipment such as copiers and voice mail messaging systems, spreadsheets, and other software applications to prepare reports, invoices, letters, case histories, and medical records.
- Laboratory assistance, medical equipment management, and medical equipment maintenance.
- Maintains medical and office inventory.
- Maintains a clean waiting room and clinical settings, meeting the Illinois Department of Public Health work environment standards.
- Assist the Medical Office Coordinator with department business tasks and departmental daily operations.
- Assists the Medical Office Coordinator with the maintenance of student immunization records.
- Work with students through consultation and provide resources to achieve compliance with the university immunization policy.
- Data entry of records in the department’s electronic health record system (EHR). Facilitates and/or advises on business and/or fiscal operations to meet department goals. Maintains and manages student immunization records.
- Attend and actively participate in Student Health Services departmental meetings and in\-service workshops.
- Participate in department lead tabling and collaborative functions and events.
- Participate in continuous education and health workshops.
- Maintain CPR and Bloodborne Pathogen certification.
- Other duties as assigned.
- Minimum 1 year of experience working in a medical office setting.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.) and general computer skills.
- Bilingual in Spanish.

Minimal Qualifications:
1\. High School diploma or equivalent.
Departmental Preferences:
Hours: Monday \- Friday, 8:30 am \- 4:30 pm (37\.5 hour work week).
Location: Main Campus (5500 N. St. Louis Ave, E\-051 Chicago, IL 60025\)
Setting: In\-office, not eligible for remote work.

Salary Range
$22\.00\-$34\.00
