Job Overview
We are seeking a highly organized, proactive, and detail\-oriented Remote Executive Assistant to provide direct support to a Managing Partner who oversees and operates multiple businesses and ventures.
This role is focused on supporting the person behind the operations, ensuring that communication, scheduling, administrative workflows, and digital systems run efficiently across multiple companies.
You will play a critical role in keeping daily operations organized, handling communications, and ensuring tasks are completed accurately and on time—all in a fast\-paced, remote work environment.
The ideal candidate is a strong communicator, highly dependable, and able to manage multiple priorities without constant supervision.
This is not a basic admin role—this position requires ownership, follow\-through, and the ability to think ahead.
Responsibilities
Manage and maintain calendars using Google Workspace and Microsoft Outlook, ensuring meetings, calls, and deadlines are properly scheduled and prioritized.
Monitor and manage email inboxes, text communications, and missed calls; respond, organize, and escalate as needed.
Serve as a central communication hub between the Managing Partner, clients, and internal operations.
Assist with client onboarding, follow\-ups, document collection, and maintaining organized digital client records.
Track outstanding items such as documents, signatures, and unpaid invoices; follow up via email and phone when necessary.
Support business operations by organizing workflows, updating systems, and ensuring tasks are completed across multiple companies.
Assist in preparing, organizing, and closing out tax\-related files and documentation (training provided).
Execute daily social media posting across platforms (TikTok, Instagram, Facebook, LinkedIn), including captions and scheduling.
Provide administrative support including data entry, document formatting, proofreading, and file management.
Support project coordination by tracking deadlines, updating progress, and ensuring nothing falls behind.
Communicate daily updates, priorities, and issues clearly to the Managing Partner.
Maintain strict confidentiality of sensitive business and client information.
Qualifications
Proven experience as a Virtual Assistant, Executive Assistant, or in a similar remote administrative role.
Strong organizational and time management skills with the ability to manage multiple tasks independently.
Excellent written and verbal communication skills (this role requires frequent client and executive communication).
High level of reliability, responsiveness, and follow\-through.
Proficiency in Google Workspace (Docs, Sheets, Calendar, Gmail) and Microsoft Office Suite.
Comfortable using or learning CRM systems, scheduling tools, and digital workflows.
Ability to work independently in a remote environment without constant supervision.
Strong problem\-solving skills and ability to anticipate needs.
Experience supporting an entrepreneur or multi\-business environment is strongly preferred.
Must have reliable internet connection and a professional remote work setup.
Schedule
- Monday – Friday
- 9:00 AM – 3:00 PM (Primary Hours)
- Must be available for occasional extended hours based on business needs
- Must be available for on site visit 1 x per week
- Daily check\-ins and task updates required

This role requires someone who is responsive, organized, and proactive throughout the workday. Delays in communication or missed tasks are not acceptable in this position.
Pay: $7\.25 \- $27\.23 per hour
