Job Summary and Overview
The Office Aide provides administrative, clerical, and customer\-service support to ensure the efficient operation of the high school’s main office. This position assists staff, students, parents, and community members while maintaining professionalism, confidentiality, and a student\-centered focus. The Office Aide performs routine office tasks, supports attendance and record\-keeping functions, and contributes to a positive and welcoming school environment.
Essential Duties \& Responsibilities
- Greet students, parents, staff, and visitors; answer phones and direct inquiries to the appropriate personnel.
- Provide general clerical support including filing, copying, scanning, document preparation, and data entry.
- Assist with student attendance processes such as late slips, early check\-outs, and basic attendance reporting as directed.
- Distribute passes, forms, memos, and other school communications.
- Support staff with scheduling appointments, maintaining office calendars, and organizing materials.
- Maintain confidentiality of student records and sensitive information in accordance with FERPA and district policy.
- Assist with inventory, ordering, and organization of office and classroom supplies.
- Help coordinate substitute check\-in and distribution of daily materials (if assigned by school).
- Provide general supervision of students in the office area, hallways, or other locations as needed.
- Perform other duties as assigned to support the smooth operation of the school.
- Assists other personnel as may be required (e.g. coaches, counselors, teachers, staff, etc.) for the purpose of supporting them in the completion of their work activities.
- + Basic office practices, procedures, and equipment.
- + Proficient use of computers, including email, word processing, and data\-entry applications.
- + Work effectively with students, parents, staff, and the general public.
- High school diploma or GED required.
- Previous office or customer\-service experience preferred, especially in a school or public\-service setting.
- Ability to pass required background checks and district onboarding requirements.
- Bilingual skills preferred but not required.
- + Ability to sit or stand for extended periods (up to a full workday).
- School office environment with frequent interruptions and high student/public interaction.
- Fast\-paced setting, especially during arrival, lunchtime, and dismissal periods.
- Exposure to typical noise levels associated with a school environment.
- May occasionally supervise students in common areas.
