This Senior Administrative Assistant role supports a large\-scale workforce transformation initiative, working alongside program leadership, project managers, and stakeholders to ensure day\-to\-day operations, coordination efforts, and deliverables move forward seamlessly.

The right person for this role is highly organized, polished, steady under pressure who can juggle multiple competing priorities, pivot quickly as needs shift, and maintain a calm, professional presence in a fast\-paced, highly visible environment. Someone who takes pride in anticipating needs, solving problems before they escalate, and producing materials that reflect accuracy, clarity, and professionalism.

What You Will Do

  • Analyze existing business processes to identify areas for improvement.
  • Collaborate with stakeholders to design and implement process improvements.
  • Gather requirements from stakeholders and develop solutions that meet operational needs and expectations.
  • Develop and maintain accurate process documentation including process maps, training materials, and supporting artifacts.
  • Monitor and evaluate process performance using data\-driven analysis and metrics to measure progress toward goals and objectives.
  • Develop and maintain key performance indicators (KPIs), dashboards, metrics, and reports to track performance and provide updates to stakeholders.
  • Support stakeholder meetings by reserving meeting spaces, preparing read\-ahead materials, managing agendas, setting up electronic displays and VTC equipment, and taking concise meeting notes.
  • Prepare professional PowerPoint presentations, agendas, executive summaries, graphics, and visual aids.
  • Manage complex schedules, coordinate requests, and ensure leadership materials are prepared accurately and on time.
  • Update and maintain SharePoint sites, documentation repositories, and knowledge management content.
  • Provide training and support to end\-users on new processes and systems.
  • Operate effectively in a dynamic environment requiring rapid response to changing priorities.
  • What We Are Looking For

    Required:

  • Bachelor’s degree.
  • Four or more years of experience providing high\-level administrative or operational support within a complex organization.
  • Demonstrated experience supporting senior\-level stakeholders in a fast\-paced, high\-visibility environment.
  • Proven ability to manage multiple competing priorities with minimal direction and pivot quickly as requirements evolve.
  • Advanced proficiency in Microsoft PowerPoint and Excel, including development of executive\-ready briefing materials and tracking tools.
  • Experience developing and maintaining performance metrics, KPIs, or reporting dashboards.
  • Experience updating SharePoint sites and collaborative platforms.
  • Exceptional organizational skills, attention to detail, and execution discipline.
  • Professional presence, discretion, and strong judgment in handling sensitive information.
  • Excellent written and verbal communication skills.
  • Strongly Desired:

  • Experience supporting workforce transformation or organizational change initiatives.
  • Experience working at a U.S. Coast Guard staff element (Headquarters, Areas, Districts, Bases, or Sectors).
  • Strong familiarity with Coast Guard terminology, acronyms, and organizational structure.
  • Clearance and Eligibility

  • Public Trust (Tier 1\) background investigation required (current or eligible).
  • Restricted to U.S. persons as defined under 8 U.S.C. 1324b(a)(3\).
  • Location

  • Hybrid – Remote and on\-site at USCG Headquarters, Washington, D.C.
  • Required to be on site at USCG Headquarters from 8:00 a.m. to 4:00 p.m. for three (3\) days each week.
  • Paid parking is available at Anacostia Metro Station, and a free shuttle bus from Anacostia Metro Station to USCG Headquarters is provided.
  • Free shuttle service is also provided to and from L’Enfant Plaza Metro Station.

No relocation assistance available.
