AASA, The School Superintendents Association (legal entity: American Association of School Administrators Inc.), is seeking an Administrative Coordinator to join our talented team. This individual will help provide high\-quality administrative and operational support to our Center for Leadership \& Learning. The role is responsible for managing day\-to\-day logistics, coordinating schedules, and ensuring the efficient execution of administrative processes in a fast\-paced environment.

The starting pay range for this position is $22–$28 per hour.

ESSENTIAL FUNCTIONS
Administrative and Operational Support
- Provides direct administrative support to up to four Senior Vice Presidents, including calendar management, meeting scheduling, and coordination of daily activities.
- Prepares and organizes materials for meetings, including agendas, presentations, and supporting documents.
- Coordinates travel arrangements, including booking flights, lodging, and itineraries, and prepares related expense documentation.
- Prepares and processes expense reimbursements and timesheets for multiple leaders, ensuring accuracy and timely submission in accordance with organizational policies.
- Maintains accurate records, files, and documentation in alignment with organizational systems and practices.
- Supports data entry, tracking, and basic reporting needs.
- Responds to routine inquiries from internal and external stakeholders.
- Drafts and edits basic correspondence and communications.
- Provides front desk and reception coverage as needed, including greeting visitors, answering phones, and managing incoming deliveries.?
- Supports daily office operations by coordinating room scheduling, visitor access, and general office?logistics?during assigned coverage times.?
- Serves as a reliable on\-site presence to support staff, visitors, and vendors.?
- Associate’s degree in business or non\-profit management required.
- Minimum of two (2\) years of administrative, reception, or customer service experience in a fast\-paced environment required.
- Nonprofit or association experience preferred.
- Strong customer service and communication skills.
- Ability to manage multiple priorities and frequent interruptions.
- High attention to detail and reliability.
- Proficiency with Microsoft 365, common AI tools, and standard office tools.
- Professional, approachable, and collaborative demeanor.
- Regular use of standard office equipment, including desktop and laptop computers, video conferencing platforms, and other digital collaboration tools.?
- Ability to remain in a stationary position for extended periods and move about to access files, attend meetings, and interact with colleagues.?
- Occasional lifting of materials or equipment up to 25 pounds may be?required.?
- AASA?operates?as a primarily remote?organization;?however, this position?has a? required in\-office presence.?
- Ability to work evenings and weekends as?required?to support meetings, conferences, and event execution.?
- Rare travel may be required to attend and support conferences and member events.
- Travel may include overnight stays, weekends, and varying time zones.
