About The Role:
The OluKai Sales Assistant supports the Sales Department by managing key operational processes, coordinating sales activities, and providing administrative and logistical support to ensure efficient execution of sales initiatives and account management.
Key Responsibilities include but are not limited to:
Sales Operations \& Account Support
- Support Key Accounts and Core Specialty businesses by managing backend sales operations and administrative processes.
- Coordinate account setup documentation, order and bulk management, RTV processing, VIP codes, order tracking, reimbursements and credit memos, shortage reports, and fixture orders.
- Manage and maintain Repsly, including field activity monitoring, store visit documentation, and follow\-up tracking.
- Conduct Key Account site checks online retailers, complete maintenance reports, and communicate updates or required changes to account managers.
- Maintain and update the Sales Master Contact Sheet.
- Manage and track sales assets for accounts and provide updated seasonal PDP imagery as needed.
- Oversee the end\-to\-end sample process including ordering, bulk management, tracking, showroom setup and maintenance.
- Assist with seasonal sample bag packing and distribution to sales teams and accounts.
- Manage sample shipments for accounts, photoshoots, and internal needs.
- Oversee Enso warehouse sample inventory in partnership with the Wholesale Marketing team.
- Support the HOKU Top Accounts Program, including tracking selling reports, monitoring account milestones, assisting with seasonal programs and product pre\-lines, and coordinating incentives and gifts.
- Assist with promotional management, including distribution of VIP codes to reps and internal teams, and entering promotional orders as needed.
- Support national and regional trade shows, including appointment booking and tracking, booth hosting, sample preparation, travel coordination, and booth setup/tear\-down.
- Assist with travel logistics and group dinner reservations for sales teams during trade shows.
- Work cross\-functionally with marketing to coordinate shipping and other logistical requirements.
- Travel to support trade shows as required.
- Support planning and execution of the National Sales Meeting, including setup and teardown, procurement of rep gifts, travel coordination, and logistics, travel is required.
- Assist with tracking rep travel reimbursements and work with accounting to ensure timely processing.
- Assist with shipping and logistical coordination to ensure merchandise, samples, and sales tools arrive on schedule for sales meetings and local events.
- Assist with all office account appointments
- Partner with Marketing on fixture requests and monitor inventory allocations and quantities on hand.
- Report low inventory levels or stock\-outs of POP, GWP, and fixture tools to the Wholesale Marketing Manager.
- Support POP production and distribution.
- Assist with annual holiday gift programs for the sales team, representatives, and key accounts, including idea development, purchasing, and timely distribution within budget.
- Serve as a key point of daily communication with sales representatives.
- Facilitate coordination between sales representatives and internal teams, including marketing, operations, and accounting.
- Bachelor’s degree required.
- 1–2 years of experience in a sales support, administrative, or wholesale support role preferred.
- Proficiency in Microsoft Office applications, with intermediate Excel skills.
- Strong organizational and time management skills with the ability to multitask in a fast\-paced environment.
- Excellent written and verbal communication skills.
- Strong problem\-solving abilities and attention to detail.
- Highly organized with accurate data entry and process management skills.
- Quick learner with the ability to retain and apply processes effectively.
- Motivated team player and proactive self\-starter who takes initiative and seeks opportunities to contribute beyond assigned responsibilities.

Requirements and Qualifications:
Location \& Office Structure: This is an in\-office hybrid position, mandatory 4 days per week in office in Irvine, CA with the option to work from home 1 day per week. Subject to change without notice as per company guidelines.
Compensation: The pay range for this position is $21\.00 \- $24\.00 per hour. Hourly pay rate is based on the experience that you bring to the position.
