Hours of business: Monday – Thursday 9:00 am – 6:00 pm; Friday 9:00 am – 5:00 pm (40 hours per week).
This position could require extended hours, and occasional weekends as needed.

- Answer and route incoming calls, provide exceptional customer service and act as, primary point of contact for the office, and prospective customers regarding account status
- Run regular reports to verify pending shipments (OP kits, new releases) and prevent over shipping by sales representatives
- Coordinate building maintenance, including contacting vendors (printers, plumbers, landscapers)
- Ability to manage multiple projects and deadlines
- Manage purchasing for office supplies, cafeteria, and cleaning products
- Assume Responsibility for customers when a sales representative is out, including communicating via phone/email, confirming weekly orders, and creating shipments
- Maintain consistent communication with the warehouse manager to coordinate overflow and manage floor capacity
- Manage customer pickups by greeting customers and processing orders
- Organize and prioritize the order board based on shipping timelines, including releases and prereleases
- Review of incoming orders submitted by remote sales representatives
- High School Diploma or Equivalent
- 2\+ years of administrative experience, required
- Professional written and verbal communication skills for coordinating with warehouse staff and sales reps, comfortable handling multiple calls daily
- Experience in a fastpaced warehouse, logistics, or sales support role
- Strong attention to detail to detail with experience in data entry, and recordkeeping
- Proficiency with Microsoft Office Suite, Adobe Acrobat/Sign, and ERP systems
The Administrative Assistant will ensure the efficient flow of orders from placement to shipment or pickup. This position reviews orders pulled by the night crew, organizes the order board for the warehouse team, coordinates with sales representatives, verifies payments, and manages customer pickups. This role requires consistent communication with the warehouse manager, customer interaction, and administrative support for sales, purchasing, and facility maintenance.
