Administrative Assistant / Bookkeeper
Position Purpose
Under the direct supervision of the principal, the Administrative Assistant/Bookkeeper provides support to teachers, administrators and staff in regards to payroll, bookkeeping and required paperwork on a daily basis. This is a full time year round position. Current schedule is 7:00am\-3:30pm.
Essential Job Functions
Prepares weekly payroll for staff and substitutes
- \-checks paper and electronic timecards for accuracy. Completes timesheets, scans and submits payroll to central office weekly.
- Monitors petty cash, reimbursing for small purchases and replenishing money as needed.
- Manages Student Activity Funds by making deposits, preparing checks, entering interest, and keeping track of all funds.
- Assists Principal with yearly budget. Discusses each account line and determines if any changes are needed. Completes data entry for budget.
- Monitors attendance. Enters absences and tardies and makes changes as needed in system.
- Completes payroll for referees/coaches. Produces checks for non\-employees, submits spreadsheet for employees.
- Prepares work agreements for extra duties and submits stipend requests at least twice a year to central office. Prepares other documents for payments when necessary.
- Manages purchase orders by reviewing requisitions, submiting requisitions, placing orders and processing "ok to pays".
- Ability to carry out instructions furnished in written or oral form.
- Ability to add, subtract, multiply and divide, and perform arithmetic operations as needed.
- Ability to understand, apply and use personal computers and software applications (e.g., Word, Excel).
- Ability to work with a diverse group of individuals.
- Ability to maintain confidentiality of information regarding students, employees and others.
- Ability to establish and maintain cooperative working relationships with students, staff and others contacted in the course of work.
- Ability to report work orally or in writing to supervisor as required.
- Effective writing and verbal communication skills.
- Work in standard office and school building environments.
- Ability to work outdoors during outdoor student activities.
- High School diploma or equivalent.
- Prior successful clerical/bookeeping experience preferred.
