The Revenue Cycle Services Coordinator serves as the primary contact for the administrative functions of the binocular vision and pediatrics in coordination with the service chiefs and the assistant clinic director of specialty services; Will triage by phone, in\-person patient encounters, and patient secure\-messaging detailing visual and ocular complaints; Makes independent decision regarding scheduling appointments in the appropriate clinic service; Will be responsible for assisting with patients' arrivals, managing incoming call volume, outgoing calls, voicemails, and faxes.

Provides patient services for appointment check out; Processes patient billing and eRouting with accurate optometric procedures, diagnostic codes, and material codes; Collects exam fees, material fees, and copays; Provides copies of receipts and Rx's to patients and obtains Rx acknowledgements from patients. Responsible for posting payments for services and materials, determining patient and insurance responsible balances; Enters adjustments, refunds, and discounts in Compulink software. Understands and explains eye examination procedures and fees specifically related to primary vision, binocular vision, pediatrics, vision rehabilitation, and vision therapy patients, answers patient prescription\-related questions, and patient questions based on medical record information.

Serves as secondary contact for the sale of vision therapy materials and assists with inventory maintenance, OTC and clinic material ordering, invoice and payment processing, and monthly reconciliation of discrepancies; Oversees student worker tasks, training, and schedules in collaboration with Low Vision Coordinator and Vision Therapy Coordinator. Oversees student intern accuracy;

Supports the Medical Records Department's daily operations in accordance with state/federal regulations and college/university procedures governing medical records handling. Understands and complies with HIPAA regulations relating to data entry and release of confidential patient information. Communicates with other medical providers regarding patient care, referrals, and outside medical records requests; Assists patients with records requests and collaborates with the medical records department to provide medical records and prescriptions. Prepares and reviews medical records and prescriptions for completeness and accuracy.

Communicates with patients and caregivers regarding follow\-up and continued care; Assists interns with follow\-up care; Orders and dispenses optometric aids and other optometric duties as necessary; Verifies and arranges insurance coverage; Processes prior authorizations for services through applicable insurances; Serves as the primary liaison between the Bureau of Workers Compensation and the patient for eye exam and materials\-related benefits. Will continuously review, update, and improve SOP to ensure the clinic runs efficiently. May perform any of these duties in primary care, contact lens, vision rehabilitation, binocular vision, pediatrics, and/or vision therapy; Performs other administrative duties as needed.

  • Explaining procedures, fees, and prescriptions to patients

  • Preparing, reviewing, and managing medical records
  • Ensuring HIPAA compliance
  • Communicating with other medical providers, coordinating referrals
  • Assisting patients with records requests
  • 10% Materials Management, Sales \& Inventory Support —

  • Secondary contact for vision therapy materials
  • Inventory maintenance and ordering
  • Invoice/payment processing
  • Monthly reconciliation of discrepancies
  • Ordering/dispensing optometric aids
  • 10% Student Worker/Intern Oversight \& Operational Support —

  • Overseeing student tasks, training, and schedules
  • Monitoring intern accuracy
  • Supporting clinic operations across multiple specialty areas
  • Minimum Required Qualifications:

  • High School diploma or GED.
  • 0 years of relevant experience required.
  • Desired Experience:

  • 0\-2 years of relevant experience preferred.

Pay Range: 15\.15 \- 19\.79

Salary will be based off of education, experience, internal equity, and budget allowance.
