Duties

  • Manage and coordinate details using Microsoft Outlook and Google Suite (excel, docs, sites, etc.) including scheduling meetings, making appointments, and client outreach.
  • Handle all aspects of office management, including data organization, maintaining organized records, and overseeing online programming.
  • Provide comprehensive executive administrative support such as preparing correspondence, proofreading documents, and managing incoming emails with professional etiquette.
  • Organize and plan events, meetings, and travel arrangements to ensure seamless execution of organizational activities.
  • Assist with project coordination by tracking deadlines, preparing reports, and ensuring timely completion of tasks across departments.
  • Maintain confidentiality while managing sensitive information through secure document handling with tools like DocuSign.
  • Support customer service efforts by addressing inquiries professionally via emailing and phone systems and ensuring positive interactions at all times.
  • Experience

  • Proven experience as a Personal Assistant, in Maritime, or in an administrative support role online.
  • Demonstrated proficiency in Microsoft and Google Suite.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast\-paced setting.
  • Experience with duties such as filing systems, administrative operations, and clerical tasks.
  • Familiarity with maritime industry.
  • Exceptional communication skills with professional phone etiquette across multi\-line phone systems.
  • Ability to handle multiple projects simultaneously while maintaining attention to detail and meeting deadlines.
  • Willing to travel, if needed!
