Job Summary
We are seeking a dynamic and highly organized Administrative Assistant / Accounts Payable Assistant to join our team! Duties
- Greet visitors and manage the front desk with friendly, professional demeanor, ensuring a welcoming environment for clients and staff alike
- Operate multi\-line phone systems efficiently, directing calls accurately and courteously while providing excellent customer support
- Assist Accounts Payable Manager with coding, invoice entry, scanning, matching, sorting, filing and research
- Manage calendar scheduling, appointments, and meetings using Microsoft Office and Google Workspace tools to ensure optimal time management
- Perform data entry, filing, and document proofreading to maintain accurate records and uphold high\-quality standards
- Support office management activities including supply ordering, inventory tracking, and maintaining organized filing systems
- Provide clerical support such as typing correspondence, preparing reports, managing email communications, and ensuring overall office organization
- Handle phone etiquette professionally across all interactions while providing exceptional customer service in person or over the phone
- Support personal assistant duties as needed, including travel arrangements or special project coordination
- Proven office experience with a strong background in administrative support roles
- Familiarity and proficiency in Microsoft Office (Word, Excel, PowerPoint) as well as Google Workspace applications
- Experience working at a front desk or as a receptionist in a fast\-paced environment
- Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Strong computer literacy including data entry, proofreading, filing systems, and general clerical tasks
- Previous experience in customer service or customer support roles that require excellent phone etiquette and interpersonal skills
- Ability to handle multiple responsibilities such as calendar management, phone systems operation, and office management seamlessly
