Overview
We are seeking a dedicated and organized Medical Office Assistant to invite patients to our Dermatology and Skin Cancer medical office and to track existing appointments, using digital invitations, reminders and phone calls. This position is on site (not remote), Mon\-Fri and either PT (9\-3\) or FT.
The candidate will also work as a receptionist, in sales of in\-house skin care products \& sunscreens, and with our remote digital marketing consultant who promotes the medical practice digitally and through outside sales. As a Medical Office Assistant, the candidate will become familiar with the medical billing process and the medical /surgical services the practice offers to answer patients' questions better. The candidate will assist in Accounts Payable (4 hours /month).
Our medical office thrives by seeing that our established patients keep their current appointments and are reminded to regularly follow up in the office. We also want to invite new patients to become our patients. With the office's digital reminder system and ability to invite past patients, then there is a great opportunity to design and use reminder systems to maintain a full daily schedule of patients and expand the practice. In joining a full time receptionist, the candidate will also act to schedule and change appointments and to take phone messages from patients. A medical receptionist is the first point of contact for patients, and provides warm, exceptional customer service in our medical office.
This role and job opportunity in coordinating appointment and inviting new patients is crucial in creating and maintaining a full schedule of patients, in ensuring smooth operations for the practice and in maintaining a welcoming atmosphere for patients.
Our office sees dermatology patients with medical concerns, and skin cancer patients for evaluation, biopsy, standard surgery \& Mohs micrographic surgery with reconstructive repair of the defect created. We also see cosmetic patients for Botox, filler and laser treatments. Our office is a pleasant, rewarding place to work.
Duties
- Invite through digital texts and marketing new and established patients to see our physician / dermatologist for skin care concerns.
- Track successful marketing campaigns. Report regulary to our doctor on successes and areas for improvement and expansion.
- Work regualarly with our marketing specialists (SEO, web page, etc) who do work remotely.
- As a receptionist, greet patients and visitors in a friendly and professional manner.
- Manage patient check\-in and check\-out processes efficiently.
- Schedule appointments and maintain the appointment calendar.
- Handle phone systems to answer calls, respond to inquiries, and direct calls appropriately.
- Collect patient information, including insurance details, medical history and at check in, balances due the practice.
- Learn the skin products \& suncreens sold in the office. Actively explain and sell the products recomended by our medical team and that patients request.
- Assist in Accounts Payable. (Esitmate 4 hours / month).
- Maintain accurate patient records.
- Perform clerical duties such as filing, data entry, and managing office supplies.
- Ensure compliance with health regulations and office policies.
- Computer and internet experience and proficiency.
- Competence in computer programs: Word, Excel
- Previous experience in a medical office setting is preferred.
- Familiarity with AdvancedMD software is a plus.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication skills, both verbal and written.
- Knowledge of office management procedures and phone systems is essential.
