Job Specification: Virtual Assistant to the Founder \& CEO
Reports to: Founder \& CEO (Seth Mayiza)
Location: Remote – Philippines
Contract: Full\-time, 4 Days On / 4 Days Off (12\-hour shifts)
Shift Patterns:
* Day Shift: 4:00 AM – 4:00 PM (PH Time)
* Compensation:
- ₱45,000 per month \+ performance bonuses
- Each shift is 12 hours long (choose either day or night pattern).
- Flexibility required to overlap with UK working hours for critical meetings.
- Manage the CEO’s daily calendar and schedule meetings.
- Prepare a Daily Brief with revenue, targets, meetings, and priorities.
- Draft, proofread, and manage emails on behalf of the CEO.
- Record meeting minutes and track follow\-up actions.
- Handle travel bookings and personal admin to maximise CEO focus.
- Run daily email and LinkedIn outreach campaigns (5,000\+ per day).
- Book qualified meetings for Seth and the sales team.
- Update CRM systems with pipeline progress.
- Research prospects (brands, agencies, councils, celebrities).
- Report daily on meetings booked and outreach numbers.
- Post and schedule content across social platforms (LinkedIn, TikTok, Instagram, YouTube).
- Repurpose long\-form content into reels and shorts.
- Support in creating pitch decks, case studies, and proposals.
- Check client social accounts for errors or failed posts.
- Collect and report analytics (followers, views, engagement).
- Maintain daily revenue and expense trackers (cash flow updates).
- Keep dashboards updated with 100% accuracy.
- Organise and file contracts, proposals, onboarding docs.
- Chase invoices and payments daily.
- Manage staff and client onboarding workflows.
- Handle repetitive admin (data entry, reporting, scheduling).
- Create a Weekly Presentation for the wider team
- Deliver an End\-of\-Day Wrap Report including:
- Revenue achieved
- Meetings booked
- Outreach results
- Key team performance notes
- Tomorrow’s priorities
- Previous experience as a VA, EA, or Operations Assistant (minimum 2–3 years).
- Excellent English communication (written and spoken).
- Skilled in CRM tools, outreach systems (SmartReach/Instantly), and productivity platforms (Slack, Trello, Notion, Google Suite).
- Strong grasp of social media scheduling and content repurposing.
- Comfortable handling financial/admin tasks.
- Proactive, detail\-oriented, and resilient — able to anticipate CEO’s needs.
- Able to work 12\-hour shifts with sustained performance.
- Outreach volume and meetings booked per shift.
- Daily briefs and wrap reports delivered on time.

1\. Job Purpose
The Virtual Assistant (VA) will directly support the Founder \& CEO in managing daily operations, sales outreach, marketing execution, and administrative tasks. This role is designed for someone with high stamina, excellent organisational skills, and the ability to work under pressure in a fast\-scaling global company.
The VA will ensure that sales pipelines, outreach campaigns, financial dashboards, and content schedules are consistently maintained while freeing the CEO to focus on leadership, revenue, and investor relations.
