Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette.
  • Operate multi\-line phone systems efficiently, handling inquiries and routing calls promptly.
  • Perform data entry and maintain accurate filing systems, both physical and digital, including document proofreading for accuracy.
  • Utilize Microsoft Office Suite and Google Workspace tools to prepare reports, correspondence, and presentations.
  • Coordinate calendar management and schedule appointments for staff members, ensuring optimal time management.
  • Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking.
  • Provide excellent customer service by assisting clients, vendors, and internal teams with their administrative needs.
  • Handle clerical tasks such as photocopying, scanning, mailing, and organizing office supplies to keep the workspace efficient.
  • Maintain office management procedures to streamline daily operations and improve overall productivity.
  • Assist with special projects as needed, demonstrating flexibility and proactive problem\-solving skills.
  • Requirements

  • Proven experience in office management or administrative support roles; prior clerical or receptionist experience is highly valued.
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
  • Bilingual abilities are a plus to serve diverse client needs effectively.
  • Experience with front desk operations, multi\-line phone systems, and phone etiquette is essential.
  • Basic finance, accounting, or bookkeeping knowledge
  • Demonstrated ability to handle confidential information discreetly with professionalism.
