Duties

  • Greet clients, visitors, and vendors warmly, providing outstanding customer service and ensuring a positive first impression
  • Manage multi\-line phone systems, screen calls, take messages, and direct inquiries efficiently
  • Maintain a clean and organized front desk area, including filing, data entry, and document management
  • Schedule appointments, coordinate calendars for attorneys and staff, and manage meeting room bookings
  • Handle incoming and outgoing mail, courier services, and document deliveries with precision
  • Utilize office management software such as QuickBooks for basic bookkeeping tasks and billing support
  • Assist with clerical duties including proofreading legal documents, maintaining client records, and updating databases using Google Workspace and Microsoft Office tools
  • Skills

  • Proven experience in office management or administrative support within a legal or professional environment
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Excellent phone etiquette with experience managing multi\-line phone systems in a fast\-paced setting
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Exceptional organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Experience with clerical tasks such as filing, proofreading legal documents, and calendar management for attorneys or medical professionals
  • Familiarity with office equipment including photocopiers, scanners, and fax machines; knowledge of QuickBooks or bookkeeping is a plus
  • Personal assistant experience or medical/dental receptionist background is advantageous but not required
  • Strong customer service orientation combined with professional demeanor to handle sensitive situations discreetly
