Duties

  • Assist with office management tasks, including filing, data entry, and maintaining organized records
  • Manage multi\-line phone systems, answer inquiries with professionalism, and direct calls appropriately
  • Support calendar management and scheduling for team meetings, appointments, and events
  • Provide exceptional customer service at the front desk, greeting visitors and handling inquiries efficiently
  • Utilize computer skills to prepare correspondence, proofread documents, and update databases using Microsoft Office and Google Workspace
  • Perform clerical duties such as photocopying, faxing, mailing, and managing office supplies
  • Support bookkeeping activities using QuickBooks or similar accounting software when needed
  • Maintain a professional front desk presence with excellent phone etiquette and customer support skills
  • Qualifications

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Experience with multi\-line phone systems and front desk operations
  • Bilingual abilities are highly desirable to serve diverse clients and team members effectively
  • Familiarity with clerical tasks such as filing, data entry, proofreading, and calendar management
  • Knowledge of QuickBooks or bookkeeping software is a plus
  • Excellent communication skills with a friendly demeanor and professional phone etiquette
  • Strong time management skills to prioritize tasks efficiently in a fast\-paced environment
  • Previous experience in customer service or administrative roles preferred, including medical or dental receptionist experience or personal assistant roles
