Role Overview: This is a full\-time, nonexempt role for an Administrative Assistant, based in Santa Clarita, CA. The Administrative Assistant will provide comprehensive administrative and clerical support to the firm’s departments, ensuring smooth and efficient office operations.

- Plan and perform routine administrative duties with minimal supervision.
- Maintain up\-to\-date written procedures for all assigned duties.
- Prepare, edit, and finalize various business documents and deliverables.
- Process and maintain templates for correspondence, engagement letters, and other client communications.
- Assist with processes and procedures for various departments as assigned.
- Coordinate department\-specific activities, such as scheduling meetings, tracking deadlines, and managing documentation.
- Provide back\-up support to other administrative staff and departments as needed.
- Deliver an exceptional first impression for clients—in person, by phone, and via digital touchpoints.
- Manage onboarding, data updates, and disengagements with professionalism and discretion.
- Cover incoming phone calls and front desk reception duties as required.
- Process electronic bank deposits and handle general office transactions.
- Assist with mail, shipping, office supply management, and other general duties.
- Keep supervisor informed of important matters or changes affecting the office or departments.
- Foster effective working relationships within the firm.
- Maintain consistent attendance and punctuality.
- Uphold confidentiality standards regarding firm and client information.
- Self\-starter attitude, work independently with minimal supervision and make sound decisions.
- Strong organizational skills, attention to detail and ability to prioritize workload to meet deadlines.
- Proficiency with standard office machines and computer applications (e.g., Microsoft Office Suite).
- Ability to learn various software specific to CPA Firms.
- Ability to read, interpret, and apply firm policies and procedures.
- Capacity to multitask and efficiently manage several responsibilities concurrently.
- Effective oral and written communication skills.
- Primarily in\-office work, stationed at the front desk or administrative area approximately 90% of the time.
- Occasional overtime may be required.

- Oversee the overall management, leadership, training, and supervision of staff, including entry\-level, senior, and supervisor\-level individuals, on various tax engagements.
- Foster a team environment by supporting management decisions and building a positive culture.
- Serve as a career advisor, mentor to one or more employees and providing honest and constructive performance feedback.
- Manage the significant responsibility of reviewing complex tax returns prepared by team members while adhering to a structured timeline of due dates and deadlines.
- Provide strong technical review experience to ensure accuracy and compliance.
- Proactively build, manage, and communicate effectively with clients to provide superior client service.
- Own client relationships, work closely with them, and strategize with Managing Directors regarding planning.
- Provide clients with recommendations and guidance on achieving their goals and assist in identifying opportunities for growth.
- Research complex tax and accounting issues to provide informed guidance to clients.
- Assist senior management in mentoring, coaching, training, supervising, and evaluating staff.
- Strategize and collaborate with clients to develop tailored tax strategies that align with their business goals.
- CPA license is required
- At least 8\-10\+ years of experience in public accounting with a focus on taxation.
- Proven experience defending clients in IRS audits.
- Bachelor’s Degree in Accounting or a related field is required.
- Strong technical review experience.
- Record of success in developing relationships within a firm and with clients/prospects.
- Strong desire to become a tax partner and contribute to the firm’s growth.
- Project management and critical thinking skills.
- Ability to handle multiple tasks simultaneously and prioritize multiple assignments.
