Responsibilities

  • Greet visitors, clients, and staff warmly and professionally, creating a positive first impression.
  • Manage multi\-line phone systems, answer inquiries promptly, and direct calls accurately to appropriate departments or personnel.
  • Handle front desk duties including scheduling appointments, maintaining calendars, and coordinating meetings.
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of records.
  • Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software.
  • Assist with customer support by addressing questions or concerns with courteous phone etiquette and effective problem\-solving skills.
  • Maintain a tidy reception area, manage office communications via Google Workspace and Microsoft Office tools, and ensure efficient workflow.
  • Requirements

  • Proven office experience with strong clerical skills including data entry, filing, and document proofreading.
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Prior experience in customer service or administrative roles demonstrating strong organizational skills and time management.
  • Ability to operate multi\-line phone systems effectively while maintaining professional phone etiquette.
  • Bilingual abilities are desirable.
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast\-paced environment.
