Job Summary: The Medical Office Assistant will play a vital role in ensuring the smooth operation of our mental health practice. This position requires a compassionate, organized, and sales\-oriented individual who can manage administrative tasks efficiently while also promoting our services to potential patients. The ideal candidate will have experience in a medical office setting, preferably within mental health, and a proven track record in sales or patient engagement.
Key Responsibilities:
* Patient Interaction:
- Greet patients warmly and ensure a welcoming environment.
- Schedule and confirm appointments, managing the calendar effectively.
- Assist patients with the check\-in and check\-out process, ensuring all necessary documentation is completed.
- Address patient inquiries and provide information about our services and treatments.
- Maintain accurate patient records and update electronic health records (EHR) as needed.
- Handle incoming and outgoing communications, including phone calls, emails, and mail.
- Process insurance claims and verify patient insurance information.
- Coordinate with healthcare providers to ensure seamless patient care.
- Identify opportunities to promote our services and encourage patients to take advantage of our mental health programs.
- Educate patients on the benefits of various treatments and services offered.
- Follow up with potential patients who have expressed interest in our services.
- Develop and implement strategies to increase patient enrollment and retention.
- Ensure the office is clean, organized, and well\-stocked with necessary supplies.
- Manage office equipment and coordinate maintenance as needed.
- Assist in organizing events, workshops, and other patient engagement activities.
- High school diploma or equivalent; additional education or certification in medical office administration is a plus.
- Proven experience as a medical office assistant or in a similar role, preferably in a mental health practice.
- Strong sales or customer service background with the ability to promote services effectively.
- Excellent communication and interpersonal skills.
- Proficient in using EHR systems and other office software.
- Strong organizational skills and attention to detail.
- Ability to handle sensitive information with confidentiality and professionalism.
