Job Summary: The Medical Office Assistant will play a vital role in ensuring the smooth operation of our mental health practice. This position requires a compassionate, organized, and sales\-oriented individual who can manage administrative tasks efficiently while also promoting our services to potential patients. The ideal candidate will have experience in a medical office setting, preferably within mental health, and a proven track record in sales or patient engagement.

Key Responsibilities:

* Patient Interaction:

  • Greet patients warmly and ensure a welcoming environment.
  • Schedule and confirm appointments, managing the calendar effectively.
  • Assist patients with the check\-in and check\-out process, ensuring all necessary documentation is completed.
  • Address patient inquiries and provide information about our services and treatments.
  • * Administrative Duties:

  • Maintain accurate patient records and update electronic health records (EHR) as needed.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail.
  • Process insurance claims and verify patient insurance information.
  • Coordinate with healthcare providers to ensure seamless patient care.
  • * Sales and Patient Engagement:

  • Identify opportunities to promote our services and encourage patients to take advantage of our mental health programs.
  • Educate patients on the benefits of various treatments and services offered.
  • Follow up with potential patients who have expressed interest in our services.
  • Develop and implement strategies to increase patient enrollment and retention.
  • * Office Management:

  • Ensure the office is clean, organized, and well\-stocked with necessary supplies.
  • Manage office equipment and coordinate maintenance as needed.
  • Assist in organizing events, workshops, and other patient engagement activities.
  • Qualifications:

  • High school diploma or equivalent; additional education or certification in medical office administration is a plus.
  • Proven experience as a medical office assistant or in a similar role, preferably in a mental health practice.
  • Strong sales or customer service background with the ability to promote services effectively.
  • Excellent communication and interpersonal skills.
  • Proficient in using EHR systems and other office software.
  • Strong organizational skills and attention to detail.
  • Ability to handle sensitive information with confidentiality and professionalism.
