Executive Assistant – Commercial Real Estate \& Business Operations

Position Overview
We are seeking a highly detail\-oriented, systems\-minded Executive Assistant to support a Commercial Real Estate Advisor and entrepreneur with an active brokerage practice and a growing portfolio of car wash businesses.
This role is ideal for someone who thrives on organization, process creation, and follow\-through. You will work closely with a fast\-moving decision maker and be responsible for bringing structure, consistency, and execution to a wide range of projects.

Core Responsibilities
- Prepare Opinions of Value and assist with listing and transaction materials
- Manage DocuSign workflows and transaction documentation
- Coordinate property tours, showings, inspections, and client meetings
- Track contract deadlines, follow\-ups, and transaction milestones
- Build, document, and refine internal systems and workflows
- Maintain CRM accuracy and manage databases, call lists, and lead tracking
- Manage and delegate to remote virtual assistant
- Coordinate mailers and handwritten outreach campaigns
- Assist with implementing and tracking car wash marketing initiatives
- Handling screening and initial interviews of car wash employees
- Handle accounts payable, bill payment, and basic administrative finance tasks
- Coordinate with bookkeeper and accountant
- Update and maintain Wix websites
- Run occasional local errands and attend meetings or showings as needed
- Systems are documented, repeatable, and improving over time
- Deadlines are met without reminders
- Information is organized and easy to access
- The advisor can move quickly, confidently, and strategically because execution is handled with precision
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Ability to manage multiple priorities independently
- Proficiency in Microsoft Word and Excel
- Comfortable creating structure in a fast\-paced environment
- In\-office Monday–Friday
- 9:00\-2:00
- Mileage reimbursed for errands and showings (2025 IRS rate: $0\.70/mile)
- Work directly with a high producing commercial real estate advisor
